Burr & Forman has an immediate opening for a full-time Receptionist in our Columbia, SC office. The hours for the position are 8:30 am – 5:00 pm, Monday through Friday. The role will greet guests and visitors at the front reception area and direct them to appropriate destination of meetings. Tasks include, answering the telephone, directing inquiries to appropriate personnel, and taking and forwarding messages. The ideal candidate will communicate clearly, effectively, and in a pleasant manner while engaged with individuals on the phone and with visitors in the office.
KEY CONTRIBUTIONS
- Welcomes clients and visitors to the office.
- Answers multiple phone lines and directs calls accordingly; assists with answering calls for other firm offices as needed.
- Schedules conference rooms; manages conference room calendars and coordinates setup instructions with office services team members.
- Maintains reception area and conference rooms; coordinates maintenance and replacement of plants in lobby and conference rooms with plant service.
- Coordinates catering for lunch meetings, client seminars, and events; prepares monthly attorney practice group lunch schedules and distributes to office legal administrator and office services.
- Makes hotel reservations as requested by attorneys and management from other offices. Periodically checks for updated corporate rates available to firm attorneys and staff.
- Receives, logs-in and coordinates deliveries of UPS, FedEx, USPS packages to appropriate individuals.
- Coordinates use of lobby and conference rooms for after-hours events and serves as primary liaison with building management submitting required event notice forms, COI and visitor lists.
- Submits daily approved visitor list to building security and enters into building software system. Maintains temporary building access badges and issues to visiting firm personnel as needed.
- Enters visitors in building parking system for daily and overnight parking as needed.
- Submits maintenance requests through building work order system and follows-up as needed.
- Serves as a member of the office tenant emergency response team; maintains AED.
- Assists office legal administrator with various tasks as needed in addition to performing administrative tasks for office attorneys and staff as requested.
THE ESSENTIALS
- A high school diploma or equivalent.
- Previous work experience in professional office setting preferred.
- Punctuality, professional image, and pleasant, professional telephone voice are a must.
- Strong verbal and written communication skills and attention to detail.
- Proficiency in MS Word and Outlook are required; proficiency in MS Excel is a plus.
- Highly organized, detail-oriented, and proactive, with a desire to take ownership as a contributing member of the team.
- Balance competing priorities and work effectively in a fast-paced environment, exercising patience and professionalism during stressful situations.
