Position Summary
The individual in this position will be a member of the Law Department’s Litigation, Compliance, Privacy, Labor & Employment (“LCPLE”) Group. The basic functions of this position are to process new lawsuits and assist with creating case files, logging information into the legal database system, and organizing and coordinating case documentation; track and file all correspondence associated with cases; compose, type, and send out correspondence as directed; assist attorneys in litigation and arbitration matters by, among other tasks, collecting, organizing, and managing information and materials regarding matters and cases; respond to and track requests for information from other departments and external contacts, including reviewing and responding to subpoenas, garnishments, and data subject access requests; and assist legal team in preparing materials for presentation.
Expected Contributions
Documentation/Reporting:- Handle intake process (file creation, database/log entries, tickler notifications, conversion from Word to PDF files, scanning, etc.) for all new and existing lawsuits, including subpoena- related inquiries.
- Track matters requiring response/action within court-imposed deadlines.
- Compose, type, and transmit correspondence, telefaxes, and legal documents as directed.
- Scan and email personal injury and Workers’ Compensation matters to Claims Department.
- Email garnishments and information subpoenas to Payroll Department.
- Create and maintain small claims and subpoena files, logs, and scanning to iManage and other appropriate databases.
- Create and maintain Excel spreadsheet of all requests from other departments and external contacts.
- Maintain computer-based and paper-based filing and organization systems for records, reports, documents, etc.
- Assist attorneys in collecting, organizing, and managing information and materials regarding litigation/arbitration matters and cases.
- Provide administrative support to litigation attorneys and other team members as needed.
- Serve as liaison between the LCPLE team and other Law Department staff, as well as corporate and regional personnel regarding litigation and related matters.
- Handle matters not requiring the LCPLE attorneys’ attention; retrieve and provide current Registered Agent contact information for subpoenas.
- Serve as contact for LCPLE Group regarding due diligence requests from other departments.
- Address customers' service needs in a professional, positive, and timely manner.
- Assist other employees to maintain proper office coverage.
- Maintain confidentiality of proprietary materials and information.
- Protect the privacy and security of clients and co-workers.
- Follow company and department policies and procedures.
- Research questions and problems; refer complex issues to manager.
- Protect company tools, equipment, machines, or other assets in accordance with company policies and procedures.
- Perform other reasonable job duties as requested.
Candidate Profile
Education:- Undergraduate degree
- Four-year college degree or equivalent qualifying work experience with an excellent performance record.
- Minimum of one year of substantive, relevant experience as a litigation paralegal, legal administrative assistant or comparable position in a law firm, corporate law department, or government agency.
- Certificate from an ABA-approved paralegal program or qualifying legal experience preferred.
- Paralegal certificate, or relevant work experience (0-3 years).
Communication
- Answer telephones using appropriate etiquette including answering the phone within 3 rings, answering with a smile in one's voice, using the callers' name, transferring calls to appropriate person/department, requesting permission before placing the caller on hold, taking and relaying messages, and allowing the caller to end the call.
- Screen and redirect incoming telephone calls regarding document and information requests.
- Discuss work topics, activities, or problems with co-workers, supervisors, or managers using proper discretion.
- Speak to co-workers using clear, appropriate and professional language.

- Enter and maintain up-to-date information regarding litigation matters and cases in Law Manager, Galexy, and other Company databases.
- Generate database reports as requested.
- Use computer systems and software packages to input, access, modify, store, or output information.
- Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservation, and answer inquiries from guests.
