We have an exciting Contracts Administration Attorney opportunity in our Murrieta, CA office. The position is responsible for overseeing the contract administration and support function, as well as providing general corporate legal support when needed to the legal department (e.g., corporate and professional licensing, registration, entity management support). The role will report to Vice President, Accounts Receivable  

Essential Duties & Responsibilities:

  • Act as the subject matter expert and owner/administrator of the contract lifecycle management (CLM), [Ironclad] and related technologies; lead the departments refinement of systems, processes, procedures, forms and playbooks while leveraging new CLM features and functionality
  • Develop and report on key contracting metrics to better inform contract decision-making, matter and work product analysis, and contracting dashboards
  • Evaluate and improve how contracts admin, billing and legal intakes, assigns, and manages contracts, including all outsourced vendor contracts
  • Organize, review, draft, and negotiate contracts, including editing, document validations, and routing for signature
  • Serve as contract gatekeeper for legal/IT/finance/procurement teams, providing support to the legal team function and ensure smooth operations
  • Document management, including updating templates, formatting, and proofreading
  • Assist with training of other business units regarding the CLM and legal processes]
  • Stay aware of legal operations industry trends and advise on needed upgrades and improvements to business processes and tools
  • Manage special projects as required/requested
  • Oversee the Contract Administration function. This includes but is not limited to development of policies and procedures and Department workflows. It will also assist in on-boarding and cross training of personnel.
  • File management and maintenance of templates and standard agreements.
  • Maintain the Department TeamLink site.
  • Support insurance documentation in conjunction with other Department personnel and prepare renewal applications.
  • Support due diligence and integration efforts for acquired entities including integration of subconsultants.
  • Support merger efforts.
  • Oversee international and domestic subconsultant qualification and formation efforts.
  • Manage integration into Deltek of contract and subconsultant agreements worldwide.
  • Handle reporting and audit functions in support of the Department.
  • Assist in management of Department communications and presentation of training programs.
  • Ensure policies and procedures (internal controls) are in place to provide reasonable assurances that the company assets are protected.
  • Work collaboratively to provide development and continuous improvement of cross-team education and guardrails, playbooks, contract templates, and legal processes.
  • Ensure all documentation is received for processing and shares outcome/results with the appropriate stakeholders.
  • Create and maintain audit tools to monitor staff productivity, work quality and accuracy.
  • Establishes reports to share with leadership the volume of the various tasks assigned to staff and make recommendations of process improvements and/or if additional resources are needed.
  • Work closely with members of Operations, Finance, Tax, Legal and Technology teams.
  • Perform other additional duties as may be assigned by supervisor.

 Education & Experience:

  • Education: Bachelor's degree in business administration, Bachelor of Law, Juris Doctor or related field.
  • 10+ years overall experience, with 5+ years of contracts management, legal operations, or other comparable experience within a law firm, government agency, or in-house legal department, with responsibility for reviewing, drafting, and negotiating the legal terms of a broad range of standard commercial contracts.
  • Proficient in contract lifecycle management (CLM) systems, preferably Ironclad.
