Job Summary:
The Contract Specialist / Junior Paralegal plays a key role in supporting the company’s contract management and legal operations functions. This position is ideal for a detail-oriented professional who enjoys working with contracts, systems, and process-driven workflows in a fast-paced project environment. The role focuses on assisting with contract review, document management, contract lifecycle tracking, legal research, and legal operations support. The position also contributes to training materials, SOP maintenance, and internal process improvements to ensure efficient, compliant, and well-organized contract workflows across the organization.
Duties/Responsibilities:
Contract Administration & Lifecycle Support:
Our Contract Specialist will assist with contract intake, tracking, routing, and execution workflows. They will be comfortable with a high and varied volume of complex contracts and will assist in preparing, formatting, proofing, and finalizing standard agreements, including:
- Master Service Agreements (MSAs), Statements of Work (SOWs), Non-Disclosure Agreements (NDAs), Amendments, POs, and change orders, etc., Vendor, supplier, and subcontractor agreements.
Document Management & Organization:
- Maintain organized contract repositories in SharePoint and internal systems
- Support adherence to naming conventions, version control standards, SOPs, and filing protocols
- Assist with contract audits, compliance checks, and document retrieval
- Provide support for internal reporting, dashboards, and data tracking
Legal Operations & Process Support:
- Support ticket-based contract intake workflows (e.g., Zendesk or similar systems)
- Assist with system optimization initiatives and CLM implementations
- Assist with updating templates, playbooks, training materials, and SOPs
- Support creation and delivery of internal contracts and process trainings
- Assist with legal team administrative tasks and cross-department coordination
Junior Paralegal Support:
- Assist with corporate filings, registrations, and license renewals
- Support compliance documentation and internal legal recordkeeping
- Assist with insurance, audit, and regulatory document requests
The Contract Specialist’s role will also include the following tasks:
- Track contract status, approvals, signatures, renewals, and key milestone dates
- Assist with maintaining accurate contract records in CLM systems and internal databases
- Coordinate document execution using Adobe Acrobat, Adobe Sign or DocuSign
Qualifications & Skills
- Strong organizational and time-management skills
- High attention to detail and document accuracy
- Proficiency in Microsoft Office Suite and standard business software tools
- Excellent written and verbal communication skills
- Ability to handle sensitive and confidential information with discretion
- Comfortable working with contract lifecycle management (CLM) systems, AI-assisted contract review tools, and legal technology platforms
- Experience with ticket-based intake systems such as Zendesk preferred
- Prior experience in logistics, construction, engineering, or renewable energy sectors is a plus
Education and Experience:
- Paralegal certification (preferred)
- Paralegal/Legal Support Exp of 4+ years
- Contract Review/ Contract Specialist Exp 3+ years
- Experience with CLM tools, SharePoint, e-signature platforms, or ticketing systems
- Familiarity with contract workflows in procurement, or logistics environments is a plus
- Background in Supply Chain, Heavy Haul logistics, Warehousing, or renewable energy is a plus but not required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to access and navigate each department at the organization's facilities (when applicable).
- Communicate with coworkers, third-party providers and vendors.
- Must be able to adhere to standard operating procedures.
