Description

A Legal Administrative Assistant at Griffin Media helps drive the Ideal Team Player culture.

Job Summary: The Legal Administrative Assistant will provide administrative and clerical support to the General Counsel and Human Resources Department assisting with various tasks related to contract management, regulatory compliance, corporate governance, legal billing, case management, and office organization. This role will require exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be proactive, adaptable, and capable of handling sensitive information with confidentiality and professionalism.

Job Responsibilities:

  • Administrative Support
    • Manage schedule, appointments, and meetings for the General Counsel, ensuring efficient time management and meeting preparations.
    • Organize and maintain files, records, and documentation, both electronically and physically, ensuring they are updated and easily accessible.
    • Assist with basic financial tasks, such as processing invoices, tracking expenses, and budget reconciliation.
    • Track deadlines, court dates, and other important timelines, ensuring the General Counsel is aware of key milestones and requirements.
    • Provide administrative assistance to the HR team, including organizing and executing HR sponsored events.
  • Document Preparation and Review
    • Monitor FCC regulatory filing deadlines, draft necessary filings for attorney review, and ensure such filings are timely submitted.
    • Monitor corporate governance filing deadlines, draft necessary filings for attorney review, and ensure such filings are timely submitted.
    • Prepare and edit documents, presentations, and reports as needed. Ensure all materials are accurate, organized, and distributed on time.
    • Assist General Counsel with drafting legal forms and agreements, following specific instructions and guidelines.
    • Coordinate the execution of documents, including obtaining signatures, notarizing as needed, and filing with courts or other entities as needed.
  • Communication and Correspondence
    • Serve as a liaison between outside attorneys and other possible external parties, maintaining a high level of professionalism in all interactions.
    • Draft, distribute, and manage correspondence as needed.
    • Maintain confidentiality of sensitive information and handle legal communications with discretion.
  • Data Management
    • Maintain and update internal contract management tool for Griffin Media and Griffin Investments.
    • Maintain and update internal legal databases, ensuring information is accurate and accessible.
    • Prepare summaries, reports, and memos to support legal team projects or specific cases.
  • Perform other job-related duties as assigned, including driving an automobile for company business.

Job Schedule: This is a full-time position primarily working 40 hours per week. You may also be called upon at times to fill in other hours and days of the week to help cover vacations, illnesses, or special projects/events. This position may be eligible to work remotely on occasion and at the discretion of the supervisor

Skills and Requirements:

  • Bachelor’s degree in business administration, or a related field is preferred.
  • 2+ years of administrative experience, preferably in a legal environment, law firm, or corporate legal department.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities.
  • Strong written and verbal communication skills, with a professional and courteous demeanor.
  • Positive, proactive attitude with the ability to work independently and collaboratively within a team.
  • Must have, or be able to obtain, a valid Oklahoma driver’s license and have a driving record acceptable to the company.
  • Ability to perform other job-related duties as assigned.
