What the role entails:
TKD is seeking an International Legal Billing & Collection Specialist to join its Accounting Department. Under the direction of our Chief Financial Officer (CFO) and Billing Supervisor, this role is responsible for compiling, managing, and executing attorney billing as well as overseeing the collection of outstanding international accounts receivable, particularly in Europe. This position maintains frequent contact with attorneys, staff, vendors, and clients across different time zones and jurisdictions, and observes strict confidentiality of client and firm matters.
Essential responsibilities include:
Billing Responsibilities
- Compile and process a high volume of attorney bills to clients on a monthly basis.
- Review and edit pre-bills in response to attorney and secretary requests.
- Apply retainer/on-account funds as directed by attorney and per Firm policy.
- Process write-offs following Firm policy.
- Execute complex bills, including multiple discounts by matter, split party billing, and preparation of electronic bills, in a timely manner.
- Submit invoices electronically and assist in resolving related issues.
- Review and verify accuracy of billing supporting documentation as required.
- Research and respond to inquiries regarding billing issues and discrepancies.
- Identify and resolve billing inaccuracies.
- Create billing schedules and various other billing analyses as required.
- Distribute weekly and monthly partner reports.
- Review and update comments for reports distributed to firm management and partners.
- Work cooperatively with collections staff and assist with accounts receivable issues to minimize credit balances.
- Track and monitor matter-level budgets, estimates, and alternative billing arrangements (ABAs), ensuring that billing is aligned with approved financial terms.
- Maintain documentation of client-specific billing instructions, including caps, phase/task billing, and other negotiated terms.
- Proactively alert attorneys and billing supervisors when billings approach or exceed budget thresholds.
- Collaborate with attorneys and practice group leaders to support budgeting and ABA compliance throughout the billing cycle.
- Ensure billing records reflect current client contact details, including billing departments and authorized approvers, to support accurate invoice delivery.
- Review new matter intake to ensure accurate setup, including verification of billing and legal contacts, and proper entry of estimates.
- Effectively interact and communicate with attorneys, secretaries, and clients.
- Respond to internal and external inquiries in a timely manner.
- Observe confidentiality of client and firm matters.
- Assist with special projects as needed.
- Flexibility to work additional hours as needed.
- Perform other duties as assigned.
Collections Responsibilities
- Monitor and follow up on outstanding international receivables, with a focus on European clients.
- Coordinate with attorneys and clients to facilitate timely collections.
- Develop and maintain relationships with international clients to support proactive collection efforts.
- Escalate collection issues and recommend solutions where necessary.
- Collaborate with the accounting team to reconcile payments and maintain accurate accounts receivable records.
- Assist in generating regular aging reports and collection status updates for firm management.
- Ensure compliance with local billing and collections laws and practices, particularly in cross-border matters.
- Ensure collection efforts are addressed to the appropriate party to support timely and effective follow-up.
Qualifications and skills:
- A minimum of three (3) years of billing experience; prior collections experience strongly preferred; law firm or legal billing experience is a plus.
- Proficiency in Italian (written and spoken) is required to communicate with international clients and review relevant documents.
- Strong analysis, organizational, and data management skills.
- Ability to communicate effectively with attorneys, staff, clients, and team members across global locations.
- Possess a “can do” attitude and maintain a positive, team-oriented mentality.
- High standard of customer service in a fast-paced environment.
- Ability to prioritize and handle multiple tasks simultaneously.
- Proficiency in Microsoft Word and Excel is required.
- Experience with SurePoint/Rippe software is a plus.
- Previous experience with third-party and e-billing platforms is helpful.

TKD is currently maintaining a hybrid schedule structured as Tuesdays, Wednesdays, and Thursdays in-office with the option to be remote Mondays and Fridays.

Compensation & benefits:
The good faith base annual salary range for this position is a minimum $85,000 to a maximum of $105,000. The actual salary rate offered to candidates within that range will depend on a variety of factors, including without limitation, years of relevant experience, applicable education/certification(s), office location, and the candidate's overall qualifications for the position as assessed by the Firm. Market and Firm factors are also considered.
