We are seeking a detail-oriented and proactive Offices Support Manager to join our Providence office. In this role, you will oversee the day-to-day management of our physical office space, supervise our Office Assistant, and ensure our firm operates in a professional, efficient, and welcoming environment. The Offices Support Manager plays a key role in supporting our attorneys, staff, and leadership team while upholding the high standards that our clients expect.
Responsibilities:
- Office Operations & Facilities Management
- Assume responsibility for the professional appearance and smooth functioning of the office
- Manage relationships with property management, vendors, and contractors to ensure timely service and maintenance
- Monitor office supplies, equipment, and furniture; purchase and track inventory in alignment with firm policies
- Oversee maintenance of office copiers, scanners, and other equipment to ensure daily readiness
- Coordinate office-related projects, including workspace moves, upgrades, and repairs
- Team Leadership & Supervision
- Supervise and support the Office Assistant, ensuring a welcoming and professional reception area for staff, clients, and visitors
- Provide coaching, guidance, and task delegation to promote efficiency and growth
- Collaboration & Support
- Serve as the primary point of contact for the leadership team on office-related needs, ensuring requests and issues are addressed promptly and effectively
- Partner with HR and IT to ensure new hire workstations are setup and ready for each employee’s first day
- Assist with the planning and coordination of firm meetings, trainings, and internal events
- Support HR and administrative teams with ad hoc projects and day-to-day needs
- Provide light technology support in coordination with IT (e.g., conference room AV, Zoom setups.)
- Health, Safety & Compliance
- Ensure the office complies with building and safety regulations; assist with emergency preparedness and ergonomic considerations
- Maintain a safe and organized work environment for employees and visitors
- Client & Staff Experience
- Ensure kitchen, break, and lunch areas are fully stocked and maintained in an orderly, welcoming manner.
- Coordinate messenger services, such as local deliveries, errands, and lunch order pickups, as needed
- Help foster a positive, professional, and inclusive workplace culture
- 3+ years of experience in office management, facilities coordination, or a similar administrative leadership role
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment
- Proven ability to supervise and support direct reports effectively
- Excellent communication and interpersonal skills with a customer-service mindset
- Proficiency with Microsoft Office Suite; comfortable with technology and willingness to learn office systems
- Ability to lift up to 30 lbs. and perform occasional physical tasks
- Reliable transportation for errands, deliveries, and off-site vendor coordination
- Professionalism, discretion, and a proactive approach to problem-solving
Schedule & Work Environment:
- This is a full-time, in-office position
- Hours will generally be Monday through Friday, 8:00 AM - 5:30 PM (occasional after-hours support may be required)
- Business casual attire
Compensation & Benefits:
- Annual salary: $50,000 - $55,000 (based on experience)
