Description

The Business, Finance and Operations Division is responsible for the Office’s annual budget, payroll, accounts payable, and supply management functions of the Office. Among its other fiscal functions, this Division verifies that funds are available and that the payments are processed in a timely manner, compliant with Controller’s guidelines.

Duties and Responsibilities

The responsibilities of this position include the updating and processing the Form 41 personnel actions; auditing and entering Workday time for employees on leave of absence; processing and verifying mileage reimbursements; distributing payroll checks, year-end W-2 statements, and other payroll documents; acting as a liaison with offices in coordinating payroll reporting procedures, such as the City Controller, City Administrative Officer, Los Angeles Employees Retirement System, Personnel Department and Employee Benefits Division; auditing and researching timesheet issues; acting as a PaySr and Workday Administrator; establishing priorities to meet payroll deadlines; responding to telephone and walk-in inquiries regarding verification of employment and/or payroll issues; assisting Human Resources with researching leave without Pay (LW) inquiries for step advancement purposes; maintaining the payroll folders and employees’ automobile insurance records filing systems; assisting Human Resources with maintaining/updating of the Transfer Log; assisting Human Resources with tracking of IOD (injury-on-duty) time used by employees; attending periodic PaySr User meetings for new updates; assisting with Q&A plus trainings with Workday.


Requirements

This position requires a person with at least two years of clerical accounting work; excellent organizational skills, with meticulous attention to detail; ability to maintain discretion and confidentiality; an ability to multi-task and work well under pressure; ability to communicate effectively, orally and in writing; reliable attendance and punctuality are mandatory; knowledgeable in the operation of personal computer equipment. The hours for this position are 8:00 am to 5:00 pm, Monday through Friday.


Desirable Qualifications

Knowledge of the City’s payroll system (PaySr); Workday; experience performing payroll/accounting work; proficient in Excel and Access.

Telework

This position may qualify for up to 2 days of telework per week.


Current Location

City Hall East, 200 N. Main Street, Los Angeles. Position is subject to assignment at any location within the County of Los Angeles.


Probation

Appointment to this exempt position (non-Civil-Service) will be subject to a one (1) year probationary period as required by Section 1050 of the City Charter. Successful completion of the one (1) year probationary period will result in tenure with the office.
