What does our Intake Coordinator do?
When prospective clients reach out, they are often in the middle of emotionally difficult situations. Our Intake Coordinator provides these potential clients with an exceptional experience by combining professionalism, empathy, and the ability to identify their legal needs.
Key Responsibilities:
- Review and assign new business intake
- Screen phone calls before scheduling consultations with attorneys
- Monitor and follow up on all inquiries (phone, email, internet, referrals)
- Build immediate rapport with potential clients
- Conduct follow-ups on pending leads
- Maintain accurate logs and tracking systems
- Conduct client interviews with genuine empathy and compassion
- Schedule consultations and assist with the intake process
- Take accurate notes during attorney-client consultations
- Collaborate with attorneys to complete the intake process
You Excel in This Role If You:
• Convey confidence and warmth on the phone
• Set the tone and pace for the call
• Show empathy and help clients feel at ease during difficult conversations
• Treat a Friday afternoon call with the same care as one on Monday morning
• Are highly organized, detail-oriented, and able to multitask
• Have inbound sales or call center experience (preferred)
What you bring to the team...
- 2 or more years of customer service or sales experience
- Call center experience a plus
- 1 or more years of experience in a law firm
- 1 or more years as an intake coordinator
- Salesforce experience is a plus
- Case management software experience is a major plus
- Bilingual Spanish-speaking is a plus
- Excellent written and verbal communication skills
- Strong interpersonal and customer service skills
- Basic understanding of administrative procedures and office systems
- Proficient in Microsoft Office and willing to learn new programs
