We are looking for a motivated and reliable individual to join our team.  This role involves performing a variety of administrative functions to support lawyers working on projects related to venture financing, mergers & acquisitions, digital technology, and other transactional matters.

The ideal candidate will be someone who is sharp, creative, and an independent thinker who enjoys being proactive and a problem solver but is confident asking questions to complete tasks efficiently and accurately. This position requires extensive contact with others, including clients, and the candidate must maintain a professional and courteous demeanor.

RESPONSIBILITIES:

  • Extensive calendar management, scheduling meetings, conference calls, travel arrangements, and organizing events.
  • Coordinating and assembling executed agreements, facilitating signings and closings through communication with clients and third parties.
  • Organizing and maintaining documents and deal files, with knowledge of document management software.
  • Serving as the point person for client logistical needs, including handling monthly billing questions and accrual reports.
  • Communicate with clients and third parties on behalf of the lawyer team.

  • Prepare and format documents in Word.
  • Coordinating conflict checks and preparing engagement letters.
  • Managing and tracking expense reimbursements.
  • Provides back-up support to other administrative assistants when needed.
  • Overseeing entry and coding of time.
  • Review and verify all invoices for accuracy ensuring all information is correct and ready to be sent to clients.
  • Collaborate with billing to oversee any revisions in a timely manner.
  •  Ad hoc projects and duties as needed.

QUALIFICATIONS:

  • Candidate should have 2-5 years of previous experience supporting multiple professionals, including ability to keep team members on track with processes, policies and deadlines in a fast-paced environment.
  •  Reliable, friendly and positive, a can-do attitude is essential.
  • Must have strong multi-tasking skills and the ability to prioritize activities and work under pressure to meet client deadline expectations in a fast-paced environment. 
  • Must have strong writing and research skills.
  • Must have exceptional organizational skills and strong attention to detail.
  • Strong initiative, self-motivation, and teamwork.
  • Proficiency in Outlook, Word, PowerPoint, and Excel.
  • Comfort with learning new software programs and online platforms.
  • Experience with legal billing software is also a plus.
  • BA Degree highly preferred

The base annual pay range for this role is between $75,000-$86,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity.  A full range of medical, financial and/or other benefits dependent on the position will also be offered.
