Job Description Summary:

This position provides high level paralegal support and project management competencies to attorneys within the Office of the General Counsel, including but not limited to: review of subpoenas and coordinate document and witness production; collaborate with other departments to gather, analyze and produce information responsive and/or related to subpoenas, discovery requests, investigations and internal initiatives; provide day-to-day support to in-house counsel managing employment-related litigation, federal and state inquiries and proceedings, legal research, employment matters, and internal compliance initiatives; prepare summaries of factual findings, legal research, and/or sequential and chronological events for attorney; responsible for all aspects of legal case management, including maintenance of employment related files; communicate with personnel at state and federal agencies regarding administrative proceedings; drafting of correspondence, agreements, and other legal documents under the supervision of an attorney; screen incoming calls and correspondence and respond independently when possible and coordinate with attorney when appropriate; manage and coordinate litigation hold notices related to employment claims; assist with data collection related to e-discovery for employment matters; create/maintain corporate and legal forms, documents, reports and spreadsheets using Microsoft Office programs; assist in creation of presentations; update/maintain department databases (e. g. , contract, litigation and/or real estate), as appropriate; preparation of contracts, corporate documents, reports and materials approved by the department; management of various projects, as determined appropriate and assigned; organize documents and assist with corporate transactions; serve as liaison between department attorneys and internal and external business and legal contacts; assist with preparation for meetings, as appropriate, including preparation of agendas and distribution of materials; maintain confidentiality of sensitive materials; and perform other duties and responsibilities as assigned.

Responsibilities And Duties:

- Employment Matters. Responsible for working with attorneys in organizing and managing employment related matters and cases including, but not limited to investigations, administrative charges, workers compensation matters, and lawsuits and other duties as noted above e .

- Coordination of Witness and Document Production Reviews and coordinates response to subpoenas, including document and witness production. Contacts requesting attorneys and witnesses, as necessary. Prepares objection letters for attorney review and signature.

--Reports, Document Preparation and Review Using forms developed by the department, prepares and reviews designated contracts and corporate documents. Creates forms, documents, reports and spreadsheets using Microsoft Office programs. Assists with creation of presentation materials and developing/creating routine and customized reports and spreadsheets. Updates department contract, litigation and real estate databases, as appropriate.

- Project Management and Liaison Has primary responsibility for coordinating and directing, as appropriate and assigned, designated projects utilizing decision-making, critical thinking, project management and interpersonal skills. Reviews, interprets and analyzes correspondence and data to determine and execute appropriate plan of action. Acts as liaison between department attorneys and internal and external business and legal contacts. Drafts correspondence when necessary and coordinates requests between multiple parties.

- Document and file organization Organizes documents and files, per attorney requests and/or department policy. Provides assistance with transactions, including acquisitions and mergers. Reviews documents and information relative to litigation matters and prepare summaries and timelines for attorneys.

Additional Job Description:

SPECIALIZED KNOWLEDGE

Bachelor’s degree, Associate’s degree from ABA approved paralegal studies program, or a paralegal certificate is required and at least 3 years’ experience in a law firm, governmental or corporate legal department, or comparable office providing paralegal support to attorneys, with employment law and/or litigation. Proficient knowledge of Microsoft Office products (Word, Outlook, Excel, Access, and PowerPoint). Excellent communications skills (oral and written), including grammar and punctuation, and composition skills to compose business memos/correspondence, corporate documents, summaries, reports, and simple contracts. Excellent organization, interpersonal and customer service skills. Experience handling sensitive and confidential information with discretion. Familiarity with litigation pleadings, corporate documents and subpoenas. Ability to manage time and tasks effectively, work independently and in a team environment. Strong ability to multi-task, exercise initiative, problem-solving, and decision-making skills. Ability to establish priorities and coordinate work activities. Strong written and verbal communication skills, multi-tasking, attention to detail, resourcefulness, and use of collaborative solutions in handling issues or tasks. High level of professionalism, confidence and integrity, with the ability to build relationships and interface successfully cross departmentally and with outside counsel and agencies.
