*This role is based out of our Chicago, IL location.
The Legal Financial Billing Operations role will be responsible the financial operational end-to-end processes for Corporate and Legal Affairs, systems and services related to the outside counsel management globally. This position includes other responsibilities such as legal invoice processing, reporting, and implementing improvements. Substantial interaction with IT, global users of the department’s matter management technology, procurement, Finance, and outside counsel law firms.
Responsibilities:
Invoice Processing
Process outside counsel legal and other vendor invoices. Understand direct and indirect tax implications for outside counsel legal invoices for the countries/regions that company does business
Respond to law firm and vendor queries regarding invoices and payments and act as primary contact for all invoicing issues with internal colleagues
Monitor and reconcile invoices between e-billing and SAP systems
Monitor and audit invoices to ensure timely processing and in accordance with Outside Counsel Billing Guidelines
Analyze rejections and/or deductions, resolve issues, coordinate, and process revisions or adjustments
Matter and Vendor Management
Act as the primary contact for all matter management issues with internal stakeholders, law firms and vendors
Oversee timekeeper management, including new timekeeper requests and approvals
Ensure integration, development, continued improvement of the Global Law Department’s Matter Management and electronic billing systems, and ensure compliance with the global financial and budgeting requirements
Manage law firm and vendor onboarding process to Mondelez International’s electronic billing and matter management system
Other
Provide regular onboarding and front-line training and ad hoc technical support for legal technology platforms.
Develop and maintain standard operating procedures, new user training manual and reference guide, user dashboards, templates, and a coordinated onboarding process for new law firms and vendors.
Enforce law firm compliance with Outside Counsel Guidelines, in support of overall outside counsel management.
Coordinate and maintain the department’s Global Outside Counsel Management strategy processes and tools to share knowledge and procedures across the legal department
Project management, development of policies and procedures, define reporting requirements, process improvements, as well as end-user training and enhance the global team’s operational effectiveness and support
Assist with the management of outside counsel and legal vendor arrangements including firm engagement, retention, billing, performance reviews, diversity and inclusion tracking, and firm compliance with all internal guidelines and requirements
Help manage and operationalize Legal team onboarding process, including materials, initial meetings, and necessary trainings

Qualifications
Bachelor’s degree in business, finance organizational management or another applicable area
5+ years of experience in legal operations/financial analysis
Advanced Excel skills (i.e., Formulas, Pivot Charts, Pivot Tables, Formatting, etc.)
Finance Dashboards
Legal Operations background in Corporate or Law Firm
Possess deep understanding of accounting principles and ensuring compliance with legal billing guidelines
Previous finance experience
Demonstrated leadership and project management in cross-functional projects
Experience with electronic billing and matter management and understanding Ledes files
Excellent analytical skills and comfort with multiple data sets, with the ability to draw conclusions and make informed recommendations
Excellent written and verbal communications skills
The base salary range for this position is $95,100 to $130,800; the exact salary depends on several factors such as experience, skills, education, and budget. In addition to base salary, this position is eligible for participation in a highly competitive bonus program with possibility for overachievement based on performance and company results.
