TITLE:    Legal Specialist
PERFORMANCE COACH:     Associate General Counsel
COMPANY:    Tampa Electric Company
DEPARTMENT:    Legal Services

 

POSITION CONCEPT 
The Legal Specialist provides secretarial and administrative support to assigned attorneys and other legal and real estate staff, particularly with respect to real estate and commercial matters, and manages the intake of subpoena requests and coordinates responses to the same.  

 

PRIMARY DUTIES AND RESPONSIBILITIES 
Typical, specific duties assigned to a Legal Specialist include general administrative tasks including, but not limited to, the following:
1.    Typing, composing and editing legal and real estate correspondence and/or business letters. 
2.    Editing and proofing legal documents, such as contracts, memos, court filings and easements.
3.    Accepting service of process on subpoenas. Processing subpoenas and coordinating and delivering responses. 
4.    Answering the telephone, taking accurate messages, organizing, and placing telephone and conference calls.
5.    Maintaining paper and electronic organization of legal, real estate,  business documents, and other office records.  Maintaining complex filing system, file security and confidentiality of highly sensitive information.
6.    Making appointments, maintaining calendars, and arranging meetings and conferences with legal and real estate staff, senior management and other professional levels.
7.    Handling incoming and outgoing mail, photocopying and other general office duties.  Order supplies as required.
8.    Making travel arrangements.
9.    Maintaining time sheets, expense reports and professional continuing education certification credits for attorneys.  Process invoices for payment.
10.    Other projects as assigned.

RELATIONSHIPS
This position involves working closely with assigned attorneys in the Legal Department,  the Real Estate Department, and with the various clients of the Legal and Real Estate Departments throughout the Company.  Accordingly, excellent interpersonal skills are required.

 
QUALIFICATIONS
Education  
Required:    Minimum of a High School Diploma or equivalent.
Preferred:    Associates Degree

 

Related Experience
Required:    Minimum of six years of strong administrative/clerical experience, of which at least three are legal secretarial, preferably in transactional practice.  In lieu of legal background, strong administrative experience above the minimum will be considered.

 

Knowledge/Skills/Abilities
Required:    Must have excellent typing, written and verbal communication skills.  Must have a high proficiency in the use of MS Word.  Must be able to interface throughout all levels of the TECO Energy organization, with outside counsel and the public.  
    Ability to work successfully with minimal supervision, high stress tolerance and attention to detail are required.  Must be able to multitask and meet deadlines, often with frequent interruptions.  Requires working with highly confidential information and the ability to function as an integral part of the departmental team.  Requires professional maturity, self-motivation, and excellent interpersonal, prioritization, organizational and planning skills.  
Preferred:    Familiarity with legal terminology and concepts, as well as demonstrated proficiency with software packages used by Legal Department, is preferred.  Skills in Excel and MS PowerPoint are a strong plus.  Experience with real estate legal documents and title work is also a strong plus. 
 

WORK CONDITIONS
May be required to work occasional overtime, usually on short notice
