Description
Summary:

The Legal Assistant provides comprehensive administrative and operational support to the Legal Department at Tavistock. This individual will assist in the organization, maintenance, and execution of legal documents, calendars, and processes, ensuring efficient operations and confidentiality in all legal matters. The ideal candidate is highly organized, discreet, and thrives in a fast-paced environment.


Key Responsibilities:
  • Maintain and organize corporate legal files (electronic and hard copy), including contracts, agreements, and corporate governance records.
  • Update and manage legal databases and document management systems.
  • Perform docketing of legal deadlines, appointments, and updates to the Legal Department calendar.
  • Draft and prepare legal correspondence, memoranda, resolutions, and basic legal documents.
  • Support the contract management process by tracking contract lifecycles, renewals, and expiration dates.
  • Assist with basic legal and factual research using online and internal resources.
  • Coordinate signatures and notarizations for legal documents.
  • Serve as a point of contact for internal departments requesting legal support or documentation.
  • Maintain confidentiality of all legal documents and discussions.
  • Support the preparation of presentations, reports, and other materials for internal use or external legal counsel.
  • Handle special projects and additional responsibilities as assigned by Legal Department leadership.
     

Skills & Abilities:

  • Strong attention to detail with exceptional organizational skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with legal management software a plus.
  • Excellent written and verbal communication skills, including grammar, formatting, and editing.
  • Ability to handle sensitive information with discretion and professionalism.
  • Strong customer service and interpersonal skills; able to work collaboratively across teams.
  • Ability to work independently, take initiative, and manage multiple tasks simultaneously.
  • Comfortable working in a dynamic environment and adapting to shifting priorities.
Requirements
Qualifications:

Education & Experience:

  • High school diploma required; associate degree or some college coursework in legal studies, business, or a related field preferred.
  • Prior experience in a law firm or corporate legal department strongly preferred.
  • Familiarity with legal terminology and legal processes is a plus.

Physical Requirements:
  • Ability to perform sedentary work, including extended periods sitting at a desk and working on a computer.
  • Must be able to lift and carry up to 20 pounds on occasion (e.g., files, boxes of documents).
  • Must be able to follow written and verbal instructions accurately.
  • Occasional walking, bending, or standing may be required.
