Job Description

Roetzel & Andress is a full-service law firm with offices located throughout Ohio, Florida, and Chicago. The firm provides comprehensive legal services to national and international corporations, closely held and family-run businesses, institutions, organizations, and individuals.

The Chicago office of Roetzel & Andress is seeking a legal assistant with strong real estate and transactional experience. The legal assistant will be responsible for managing day-to-day administrative and clerical needs of the practice. The ideal candidate is highly motivated and detail oriented, with excellent communication, organizational, and computer skills.

Job Requirements (including but not limited to)
  • Must have 4-6 years of real estate and transactional experience.
  • Knowledgeable with real estate/estate planning terminology and procedures.
  • Able to perform heavy typing, proofreading, editing, and formatting of real estate documents including contracts, amendments, leases, letter of intent, term sheets and closing instructions.
  • Able to schedule and coordinate real estate closings.
  • Draft real estate documents (closing statements, deeds, bill of sale, affidavits, power of attorney).
  • Knowledgeable in coordinating the filing of corporate documents.
  • Knowledgeable in coordinating post-closing matters with clients.
  • Knowledgeable in estate and trust administration.
  • Draft wills, trusts, and powers of attorney.
  • Draft probate documents for e-filing.
  • Transcribe/type all correspondence, produce letters, court documents, legal forms, and internal administrative forms as directed or required.
  • Responsible for incoming, outgoing, and internal mail of their assignments.
  • Maintain orderly filing of correspondence/documents in iManage for all matters assigned to
       supervising attorneys.
  • Assist attorney with client billings as directed.
  • Maintain updated professional schedules/calendars of assigned attorneys.
  • Manage appropriate communications with clients and professional associates on behalf of assigned attorneys as directed.
  • Complete and process miscellaneous disbursement charge records pertaining to client billings in accordance with established procedures.
  • Complete and process required forms for the opening of new matters and closing files as directed and in accordance with established procedures.
  • Make required travel arrangements for assigned attorneys.
Recommended Position Requirements
  • High School graduate or equivalency required; post-secondary related education or training preferred.
  • Typing skills of 70+ wpm required and demonstrated ability to use MS Office.
  • Must be able to maintain a high level of confidentiality and perform the duties above in a timely and accurate manner.
  • Strong interpersonal, written, and verbal communication skills to interact with employees and vendors.
  • Initiative-taker with strong organizational skills and attention to detail to function in a demanding environment.
  • Ability to work with all levels of staff in a team environment.
  • Proficiency with Microsoft Word, Excel, Outlook, and electronic document management software, and e-Filing.
  • Demonstrated ability to work well under pressure and to meet time-sensitive deadlines is required.
  • Demonstrated ability to plan, organize, and prioritize work and time.
  • Customer service attitude, approach, and professionalism in dealing with internal and external individuals.
  • Detail-oriented, excellent communication skills, excellent proof-reading skills and flexible.
  • Ability to follow detailed instructions, take direction, prioritize assignments and manage multiple projects and deadlines simultaneously.
  • Notary Public, a plus.
The candidate must also pass a background check as a condition for employment.
