Operations Assistant – Join Our Growing Law Firm


Nachawati Law Group is seeking an Operations Assistant to help support firmwide operational functions across multiple departments and assisting with building management for a five-story office facility. This role helps drive organizational efficiency, supports reporting and project management, and ensures seamless operational execution across teams.


Responsibilities of our Operations Assistant

Firm Operations Support

  • Assist with daily operational tasks across all firm practice groups.
  • Support the Director of Operations with scheduling, project coordination, follow-ups, and task execution.
  • Maintain operations calendar, including all standing meetings for departments and leadership.
  • Coordinate with Marketing, HR, IT vendors, and Accounting to ensure department alignment and communication.
  • Assist with firmwide intake and staff onboarding (office setup, access, equipment coordination).
  • Help manage vendor relationships and maintain office supply inventory.
  • Coordinate conference room bookings and hospitality needs for meetings and visitors.

Reporting & Productivity Tracking

  • Prepare and maintain internal operational and productivity reports, including:
  • Staff productivity metrics
  • Case progression and milestones
  • Campaign funding and lead performance
  • Case volumes, workloads, and timelines
  • Assist with budget forecasting and tracking operational expenses.

Process & Training Support

  • Work with departments to support development and updates of Standard Operating Procedures (SOPs).
  • Assist in implementing new workflows and documenting process improvements.
  • Coordinate staff training sessions and provide follow-up support/resources.

Technology & Software Access

  • Assist with firm business applications and login management, including user access setup and removal.
  • Collaborate with IT to coordinate technology requests and ensure seamless system access during onboarding and offboarding.
  • Track equipment assignments and maintain accurate access logs.

Department & Administrative Support

  • Support Mass Tort, Trial, PI, Public Entity, and Environmental teams as needed.
  • Help route operational requests and provide administrative support across departments.
  • Maintain internal project dashboards and request logs.
  • Assist in the coordination of firm events, trainings, and culture initiatives.

Building & Facilities Coordination

  • Support day-to-day building operations for a 5-story office building.
  • Serve as a point of contact for building vendors and service providers (maintenance, HVAC, janitorial, etc.).
  • Monitor building floors for upkeep, safety, and supply needs.
  • Assist with badge access, office keys, and guest entry.
  • Support emergency preparedness, signage, and compliance postings.

Experience Required for our Operations Assistant

  • High school diploma and at least 2+ years of experience in office administration, operations, or legal support—experience in a legal or professional services environment is preferred.
  • Strong organizational, reporting, and project-management skills.
  • Ability to maintain confidentiality
  • Proficiency in Microsoft Office; experience with CRM/legal software a plus (Litify, Salesforce, Excel, Zoom, Adobe, RingCentral, etc.)
  • Strong organizational skills and attention to detail with the ability to manage multiple priorities.
  • Excellent communication skills and professionalism.
  • Ability to walk building floors and occasionally lift up to 20 lbs.
