Job Summary & Objectives

The Knowledge Operations Coordinator will be a highly organized, proactive and strategic role supporting and working closely with the Chief Knowledge & Innovation Officer (CKIO), Directors of sub-functions, and other leaders across the Knowledge & Innovation department. This role blends executive support, project management and operational coordination for financial tracking, hiring in a fast-paced, high-performance environment. The Knowledge Operations Coordinator will provide administrative support for the Knowledge & Innovation department, as well as operational support for strategic initiatives.

Essential Job Duties & Responsibilities

Executive Calendar & Priority Management

  • Manage complex calendars for the Chief Knowledge & Innovation Officer, ensuring alignment across stakeholder priorities, high-value engagements, and Firm-wide obligations.
  • Anticipate scheduling conflicts and proactively resolve them with diplomacy and discretion.
  • Coordinate meetings, prep materials, and ensure leaders are well-briefed in advance.
  • Work with various regional office assistants to secure meeting rooms and arrange room set-up.

CXO Program Management

  • Partner with the CKIO to support the implementation of key department strategic initiatives, including tracking milestones, deliverables, dependencies, and key decision points.
  • Work with the Directors to create and maintain project plans, dashboards, and status updates to track progress and highlight risks or needs.
  • Drive meeting cadences, pre-read distribution, action item capture, and follow-ups with internal stakeholders across Knowledge, Practice Groups, and Firm leadership to maintain project momentum.

Operational Enablement

  • Coordinate internal operations to ensure the Knowledge & Innovation function runs efficiently — this may include budget tracking, candidate pipeline management, vendor management, event logistics, and document preparation.
  • Work in close partnership with the department to develop and stand up processes, templates, and systems that support scalability and cross-functional visibility.
  • Support development and coordination of internal communications, including team updates, meeting summaries, and project briefs.

Skills and Experience

Required

  • 5+ years of experience in an operational, administrative, or project management capacity in a high-performance environment (professional services preferred)
  • Excellent project management and organizational skills and a systems-oriented mindset
  • Demonstrated ability to manage multiple high-volume calendars and complex workflows with discretion and attention to detail
  • Strong written and verbal communication
  • Strong interpersonal skills; able to navigate sensitive situations and work with senior stakeholders
  • Professionalism, good judgment, and the ability to maintain confidentiality
  • Ability to work independently and deliver results under tight deadlines
  • Ability to work effectively in ambiguous and fast-changing environments, with limited guidance
  • Proven ability to build strong relationships and demonstrate stakeholder management skills, with an emphasis on collaboration and consensus-building
  • Excellent attention to detail and commitment to quality
  • Proficiency in business software (e.g., Microsoft Outlook, PowerPoint, Excel, and Word)

Preferred

  • Foundational problem-solving skills
  • Experience with data-driven decision making and AI tools is a plus

Salary Information

NY Only: The estimated base salary range for this position is $90,000 to $105,000 at the time of posting.

The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.
