Job Description

Rubin Rudman is seeking an experienced, detail-oriented, and proactive Trusts and Estates Legal Administrative Assistant (LAA) to support multiple attorneys in our Trusts and Estates Department. This position plays a key role in providing administrative, client service, and document management support in a collaborative and fast-paced legal environment.

 

Responsibilities

  • Draft, revise, proofread, and format correspondence, memoranda, estate planning documents, and other legal materials with a high degree of accuracy. 
  • Maintain and organize electronic and physical client files. 
  • Manage incoming and outgoing mail, scanning, copying, and document distribution. 
  • Coordinate attorney calendars, schedule meetings, and proactively prepare materials for client meetings. 
  • Enter attorney time, assist with billing processes, and review invoices for accuracy. 
  • Communicate professionally with clients, financial advisors, accountants, attorneys, and other professionals. 
  • Prepare final estate planning correspondence and binders, which may include copies of executed estate planning documents and trust funding recommendations involving investment accounts, real estate, life insurance policies, and retirement assets. 
  • Assist attorneys with special projects and other administrative responsibilities as assigned.


Knowledge, Skills, and Abilities

  • Familiarity with estate planning, trust administration and probate matters acquired through completion of a Bachelor’s degree or equivalent combination of education and relevant experience. 
  • A minimum of five years of experience as an LAA supporting Partners. 
  • Ability to demonstrate impeccable integrity in personal and fiduciary matters.
  • Interpersonal skills necessary to communicate with a diverse group of attorneys, staff and clients and provide information and “customer service” with courtesy and tact.
  • Proficiency using Microsoft Word, Excel, Outlook and knowledge of Visio and Power point preferred.
  • Experience using a Document Management System and Billing Software. 
  • Exceptional organization skills, attention to detail and strong verbal and written communication abilities.

 

Compensation

The firm’s expected salary range for this position is $75,000 - $105,000 annually. Actual salary will be determined based on education, experience, internal equity, and other job-related factors, consistent with applicable law.

Location

This full-time hybrid role (four days in office) is based in our Boston office at 53 State Street.
