Fennemore has an exciting opportunity in our Coeur d’Alene, Idaho office for a full-time Office Manager/Legal Administrative Assistant to join our growing team. This hybrid role offers the flexibility of two remote days each week following successful training. The Office Manager/Legal Administrative Assistant plays a vital role in supporting the success of our Coeur d’Alene office by overseeing daily operations, including human resources coordination, facilities, and general administrative functions, while also providing direct legal administrative support to attorneys. This position helps ensure that the office runs smoothly and efficiently, while fostering a professional and welcoming environment for both clients and colleagues.
Responsibilities:
Office Management (Administrative Leadership):
- Manage daily office operations in the Coeur d’Alene office;
- Serve as a liaison between the Coeur d’Alene office and firm leadership to support communication and implementation of firm initiatives;
- Support a productive, respectful, and professional office environment with a focus on client service;
- Serve as liaison between local office staff and firm-wide administrative teams (HR, IT, Facilities);
- Maintain office supplies, equipment, and vendor relationships;
- Oversee inventory, purchasing, cost management, and cash flow for the office;
- Assist the Facilities Manager with the acquisition, maintenance, and repair of office furniture and related items;
- Oversee workplace safety and security procedures, including training and emergency evacuation plans; and
- Assist with planning and coordination of internal events, client development activities, marketing initiatives, and in-house training sessions.
Legal Administrative Support:
- Prepare, proofread, and format legal documents including pleadings, correspondence, and contracts;
- Manage attorneys’ calendars, including scheduling meetings, court deadlines, and travel arrangements;
- File documents with state and federal courts (Idaho and Washington), including electronic filing (e.g., iCourt, PACER, CM/ECF);
- Open and manage physical and electronic case files using the firm’s document management systems (e.g., iManage);
- Handle time entry, expense reporting, and billing support using firm systems;
- Proofread documents for accuracy in spelling, grammar, and formatting;
- Coordinate work through the Resource Center, office services, and messenger services to ensure timely document production and delivery; and
- Perform legal administrative tasks such as processing new client/matter reports, expense reports, preparing notebooks and exhibits, photocopying, and scanning.
Client Interaction & Support:
- Greet clients and visitors, manage phone calls, and route communications as needed;
- Assist with coordinating meetings, depositions, and conference calls;
- Prepare engagement letters, conflict checks, and matter opening documents; and
- Maintain confidentiality and use sound judgment when handling sensitive information.
Team & Culture Support:
- Support attorney productivity by anticipating needs and resolving issues proactively;
- Coordinate team-building activities, staff meetings, or local firm events;
- Contribute to a positive and collegial office environment;
- Assist with compliance tracking (CLEs, bar renewals, licenses) as needed; and
- Perform other duties and special projects as assigned.

Required Qualifications:
- Demonstrated experience in office management, legal administration, or a related administrative role;
- Bachelor’s degree preferred, or equivalent combination of education, training, and relevant experience;
- At least 3 years of experience in areas such as real estate, business litigation, civil litigation or business finance law preferred;
- Knowledge of court rules, deadlines, and policies, including e-filing procedures for U.S. District Court, State Courts, and Appellate Courts;
- Ability to conduct online legal research, including reviewing court dockets;
- Ability to prepare tables of contents and tables of authorities;
- Familiarity with legal terminology, document formatting, calendaring, and court or transactional filing procedures;
- Ability to transcribe and prepare documents from dictation, handwritten notes, or verbal instructions;
- Strong written and verbal communication skills, with professionalism in interactions with clients and colleagues;
- Ability to work independently as well as collaboratively in a team environment;
- Experience with time entry systems and ensuring accuracy of submissions;
- Strong organizational and time management skills, with the ability to manage multiple priorities effectively; and
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with legal software or document management systems is a plus.
