• Selected Applicant must pass a rigid character and background investigation, polygraph examination, and drug screen
• Must obtain a valid driver's license and willing to drive to different locations when necessary.
• Preference given to applicants with experience as a legal secretary or executive assistant in a law enforcement office, district attorney’s office or similar agency
• Preference given to applicants with a Paralegal Certification or training
Job Description
Basic PurposeThe Oklahoma Bureau of Narcotics and Dangerous Drugs Control seeks an experienced legal assistant for assistance in performing administrative duties for the legal division. These duties may include assisting the attorneys in reviewing materials in response to records requests; assistance in preparation of form legal pleadings; filing documents with court and county clerks offices and providing general assistance to the legal staff in preparing cases for litigation. This position also includes other administrative duties as needed such as scanning, filing, organizing physical and digital files, scheduling and docketing hearings as well as issuing subpoenas. The position may also require some travel to attend court proceedings across the state or to make court filings throughout the state through use of an agency vehicle. The position requires computer literacy, strong organizational skills, self-motivation, and experience as a critical thinker and a creative problem solver. Salary is commensurate with education and experience.
Typical FunctionsIn addition to the above, the employee will be required to be able to competently perform the following tasks/assignments:
Provide secretarial and administrative support for attorneys; compose and prepare various legal documents and forms; prepare summaries of legal documents, legal proceedings, meetings and conferences.
Independently research, locate and assemble legal materials for working files used in docketing cases or information and data for administrative board or commission consideration and action; gather agency data and documents to support various pleadings filed in different courts; develop and maintain files on research sources

Review routine petitions regarding administrative appeals, manage an administrative court docket, schedule hearing dates and prepare appropriate draft pleadings related to the administrative docket or other court proceedings.
Schedule depositions, prepare exhibits for court cases; compile reports or other materials for use by an attorney or other member of a legal staff.
Maintain or supervise the maintenance of confidential legal files, administrative case files, and hard copy or electronic records.

Education and ExperienceEducation and Experience requirements at this level consist of three years of experience performing a variety of complex clerical and typing work PLUS one year of experience as an office manager, executive assistant or as a confidential secretary; or an equivalent combination of education and experience.
Knowledge, Skills, Abilities and CompetenciesMust be proficient in Microsoft Office Suite to include Word, Excel, Outlook and PowerPoint.
Must be proficient in use of Adobe products
Must be detail oriented, highly organized and an independent problem solver.
Must possess character and integrity to work within a confidential law enforcement workplace.
