The Private Legal Investment Team handles legal work for over 100 transactions annually. This role partners directly with business leaders and attorneys to develop and maintain deal and compliance processes, while also assisting in regulatory and legal matters to help protect the organization’s reputation. A major component of the role includes providing high-level support to the executive lawyer leading the team, ensuring seamless coordination, responsiveness, and strategic alignment across all activities
Job Duties and Responsibilities:
- Organizes and coordinates executive's schedule by proactively arranging appointments, maintaining calendars and scheduling meetings, conferences, travel, and presentations to avoid conflicts and ensure optimal use of time. Understand executive’s priorities (e.g., board meetings, investment reviews, legal deadlines) and adjust schedule accordingly.
- Handles telephone calls, greets visitors, responds to information requests, monitors executive’s inbox and responds or escalates time-sensitive items and composes correspondence (often of a confidential nature)
- Relieves VP of routine administrative details, including data compilation and analysis
- Prepares meeting agendas and briefings, maintains meeting notes, and arranges for implementation of action items
- Prepares presentation materials and spreadsheets to produce high quality reports, presentations, and other documents
- Supports and/or administers projects or processes for division/department (e.g., weekly team check-ns, board prep, follow-up tracking)
- Maintains and promotes strong business relationships with key stakeholders in support of management objectives (e.g., regularly check in with portfolio managers to understand upcoming deal timelines and ensure legal reviews are aligned with investment priorities).
- Assist with fund closings, manage legal filings using iManage, SharePoint, and Director’s Desk, conduct OFAC searches and monitor alerts, and support investment operations and audits through timely data responses.
- Manage the daily processing of deals: document coordination, communications with parties, reporting and legal bills.
- Track all steps of the deal cycle and assist in the management of deal closing deliverables.
- Interface with internal and external resources daily, including coordination across multiple law firms, investment operations teams, and other stakeholders. This often involves finding time on short notice for meetings involving 30–40 participants, requiring strategic scheduling, clear communication, and a deep understanding of priorities to ensure alignment with management objectives..
- Clearly and succinctly communicate findings to business partners and/or representatives in manner that helps stakeholders understand the rationale and related next steps.
- Work effectively and efficiently in a fast-paced environment.
- Demonstrate strong knowledge of corporate organizational and transaction documents with minimal direction, showing independence, initiative, and the ability to be a self-starter in a fast-paced legal and investment environment
Required Job Qualifications:
- College degree or equivalent work experience.
- 3+ years related corporate transactional experience.

Expected to be in the office 3+ days per week.
