Position Summary: 

Our Fort Lauderdale office is looking for a litigation legal secretary with at least 5 years of experience as a secretary in a law firm and 2 years of experience in insurance services. This individual will be responsible for providing excellent client/customer service and will support more than one attorney. 

Responsibilities: 
  • Type, edit, e-File pleadings and compose correspondence, including letters, memoranda and other documents.
  • Heavy scheduling for depositions, hearings, meetings, etc.
  • Update and maintain databases (i.e., e-mail lists, I-Create information and client matter lists).
  • Interact with clients, visitors and attorneys/staff from other Hinshaw offices.
  • Open new files, check conflicts of interest, and maintain all client and general files.
  • Make appointments and travel arrangements; maintain calendar and deadline reminder system.
  • Assist billing department in processing monthly client invoices.
  • Process vendor invoices for payment.
  • Enter attorneys’ expenses.
  • Maintain professional appearance and attitude; maintain good public relations and customer service with clients; maintain confidentiality of attorney-client relationship.
Qualifications:
  • 5+ years of litigation experience as a legal secretary, with a background minimum of 2 years in Insurance Services/Defense required
  • Working knowledge and experience in e-filing in both state and federal court systems.
  • Strong organizational skills with an exceptional attention to detail.
  • Strong communication, interpersonal and customer service skills and ability to interact effectively and professionally with management, staff, and external entities, including clients of the firm.
  • Candidates must possess a minimum typing speed of 65 words per minute, be proficient in and have knowledge of relevant software applications (Excel, Word, PowerPoint, and Outlook).
  • Must be able to maintain a high degree of confidentiality and consistently produce high-quality work product.
