Job Description

The Legal Assistant Trainee is an entry-level role designed for recent graduates or individuals beginning their career in legal support. This position participates in a structured 12-month training program that provides hands-on experience across Intake, Pre-Litigation, and Litigation functions.

Upon successful completion of the program, the Legal Assistant Trainee will be eligible for advancement to a Legal Assistant I role within the firm.

Training Program Overview:

The 12-month training program is designed to build a strong foundation in legal operations and administrative support. The program includes:

  • Exposure to all stages of a Personal Injury claim, including Intake, Pre-Litigation, Litigation.
  • Litify and Docrio (case management systems) training and proficiency
  • On-the-job training and mentorship from experienced legal professionals
  • Progressive responsibility and skill development
  • Performance evaluations to support career advancement

Responsibilities:

  • Attend and successfully complete all training segments of the Legal Assistant Trainee 12-month training program.
  • Provide administrative support to attorneys and legal staff, including scheduling meetings, maintaining calendars, and handling correspondence.
  • Assist in preparing, editing, proofreading, filing, and maintaining legal documents, ensuring that all records are accurate and accessible within the case management system.
  • Act as a liaison between the legal department and all attorneys, facilitating communication and document exchange, and helping to streamline operations.
  • Track contract deadlines, renewal dates, and other critical legal timelines.
  • Assist in case file research, monitor compliance with legal regulations, and support the preparation of legal filings and firm reports.
  • Coordinate with internal departments as needed.
  • Handle confidential information with discretion and professionalism.
  • Stay informed of relevant legal and regulatory changes that may impact the company.

Qualifications:

  • Bachelor's degree in legal studies, Business, Political Science, or a related field preferred. Paralegal certificate or equivalent experience desired.
  • Internship or administrative experience in a legal setting is a plus.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Excellent grammar, spelling, and proofreading skills.
  • Ability to work independently and as part of a team.
  • Detail-oriented with the ability to handle multiple tasks under tight deadlines.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize and multitask, moving from one project to another efficiently.
  • Ability and desire to learn and adapt to new skills and technologies quickly.
  • Aptitude to interface with attorneys, clients, and staff professionally.
  • Familiarity with legal terminology, procedures, and compliance requirements.

Physical and Environmental Requirements:

  • General office environment requires sitting for long periods of time, occasional periods of standing and walking.
  • Visual capability to work viewing a computer monitor for several hours of the day.
  • The ability to work in an office environment around others.
  • The ability to exhibit manual dexterity and use standard office equipment such as phones, keyboards, and copiers for extended periods of time.
