
Job Summary
The Paralegal at Ashland Greene is responsible for providing legal, financial, and administrative support across multiple departments. This position plays a critical role in managing real estate transactions, contract administration, compliance, risk management, office operations, and system organization. The Paralegal will also support incident reporting, financial processing, and the organization of legal and administrative documents to ensure efficiency. This role requires a highly organized, detail-oriented professional who thrives in a fast-paced environment and can balance legal, administrative, and financial responsibilities effectively.

Essential Duties & Responsibilities
Legal Support & Documentation
- Draft, review, and manage real estate contracts, leases, purchase agreements, and joint venture agreements.
- Conduct legal research on property laws, zoning regulations, and compliance requirements.
- Assist with corporate governance, including maintaining corporate filings, bylaws, operating agreements, and other governance documents.
- Develop release agreement strategies to prevent potential legal disputes and lawsuits.
- Maintain legal documentation, ensuring accessibility and compliance with company policies.
Real Estate Transactions & Due Diligence
- Review and summarize title reports, property liens, surveys, and zoning documents.
- Assist in due diligence efforts for acquisitions, dispositions, and refinancing, ensuring all required legal documentation is complete and accurate.
- Track and manage closing checklists, timelines, and deliverables to ensure transaction deadlines are met.
- Coordinate with attorneys, external counsel, lenders, and title companies for smooth transaction closings.
Contract Administration & Compliance
- Oversee and organize all contracts at both site and corporate levels, ensuring compliance with contractual obligations.
- Act as the primary contact for all legal matters, working closely with internal stakeholders and external legal counsel.
- Assist in transitioning contract management processes into Monday.com for improved tracking and efficiency.
- Monitor contract renewal dates, key terms, and legal risks, ensuring compliance with company policies.
- Support internal compliance efforts related to employment law, corporate governance, and real estate regulations.
Incident Reports & Risk Management
- Manage and process incident reports, ensuring proper documentation and follow-up.
- Track legal and operational incidents, ensuring timely communication with legal teams and executives.
- Provide reports on ongoing legal matters, disputes, and compliance risks.
- Research and summarize legal precedents, industry regulations, and legislative changes impacting business operations.
Office Administration & Financial Support
- Oversee general office administration tasks, ensuring smooth day-to-day operations.
- Manage essential corporate and legal contracts, securing necessary signatures from executive leadership, including Shakti.
- Process and track property liens, vendor invoices, and legal-related financial transactions.
- Cut checks as needed for legal expenses, settlements, or property-related payments.
- Ensure proper record-keeping for financial and legal documentation, maintaining accuracy and compliance.
- Act as a liaison between internal departments, external counsel, and third parties to support both legal and business functions.
Administrative & Technical Tasks
System Organization:
- Plan and implement the organization of contracts and administrative records within Monday.com.
- Maintain document tracking systems to ensure accessibility and compliance.
- Support the digitalization of records and workflow automation for improved operational efficiency.
Education & Experience
- Associate's or Bachelor's degree in Legal Studies, Business Administration, or a related field.
- Paralegal certification required (e.g., NALA, NFPA, or equivalent).
- Minimum 3+ years of experience in a real estate, corporate law, or property management legal setting (Required).
- Experience with multifamily real estate transactions, due diligence, and legal compliance is a plus.
