Simpson Thacher & Bartlett LLP See More Job Openings by This EmployerThe Manager, COE Billing & Collections will help develop and establish the first-ever firmwide Center of Excellence for Billing & Collections. The Manager, COE Billing & Collections is responsible for recruiting, training, developing and retaining a scalable pipeline of talent across the billing and collections team, ensuring operational excellence, institutional knowledge retention and alignment with key Firm initiatives, policies and procedures across all of the Firm’s offices.
Responsibilities
- Collaboratively develop and lead the onboarding, training, and development of all levels of global staff within Billing and Collections, including foundational, intermediate, and advanced training
- Schedule and lead regular, annual refresher training across the global Billing and Collections team, which may include travel for in-person training.
- Solicit feedback from the team on requested topics of instruction needed
- Coordinate the comprehensive documentation of processes and policies, including overseeing the updating of documentation on an ongoing basis
- Develop training materials in various modalities, including train-the-trainer support
- With the support of and in collaboration with the Firm’s HR function, lead the recruitment process for Billing Assistants, partnering with HR to define ideal candidate profiles based on cultural fit, adaptability and learning agility
- Responsible for the onboarding and development of the Billing Assistant level, positioning them for successful transition into the Billing Coordinator role
- Create structured hiring and evaluating rubrics to ensure consistent alignment of performance with firm expectations
- Collaborate with Billing and Collections management and Talent Acquisition on the hiring and onboarding of the coordinator level
- Ensure standards are maintained across the team by reinforcing training topics in need of further support. Solicit feedback from all levels of the team, management and the partnership to deliver strong outcomes
- Support the Director and Associate Director, Billing & Collections in efforts to effectively communicate Firm policies, practices, procedures and drive strategic vision
- Collaborate with Billing/ Collections & E-Billing managers to identify areas in need of improvements across the team
- Support department process improvement initiative by working with managers, team members and other employees to ensure that the plan is clear and can be applied quickly and efficiently
- Perform analytical review of billing/collection cycles, evaluate procedures, identify opportunities for improvement where training can help enhance the process and deliver improved outcomes
- Lead key initiatives and drive efforts within the Billing and Collections department; work with managers to improve workflows and collaboration across teams. Serve as point of contact for complex assignments, troubleshooting and assisting management with providing assistance to partners and clients
- Ensure management approach produces effective communication, collaboration and teamwork between department staff across all offices and with other functional departments at the Firm
- Serve as point of contact to Managers, Supervisors and Senior staff on procedure changes, implementations, process improvements, communication, training scheduling and critical functions; communicating escalations to Associate Director as appropriate
- Monitor, assess and adjust training strategy based on evolving needs of the department
- Structure, mentor and develop a team within the COE
- Participate in special projects and perform other duties as assigned
Education
Required
- Bachelor’s degree in Finance, Accounting, Training & Development or related fields required
Preferred
- Master’s degree in a Finance, Training or business-related area preferred
Experience
Required
- Minimum 5 years of directly related experience in the field of training within the areas of accounting, billing and collections, financial management and/or analysis
- Prior law firm or comparable experience required
- Strong communication and presentation skills with the ability to present information in a variety of formats to team and higher levels of management in a confident and professional manner
- Advanced analytical and problem solving skills with the ability to utilize tools to compile and analyze data, and recommend and/or implement solutions to complex problems
- Demonstrated ability to apply principles of logical thinking to define problems, collect data, establish facts and draw valid conclusions
- Ability to manage multiple projects simultaneously and to develop innovative approaches to complex issues to achieve strategic objectives
- Ability to effectively manage a team of employees with varying skills and expertise
- Strong leadership qualities and ability to motivate, supervise and train staff
- Ability to use discretion with sensitive and confidential information
- Proficiency in MS Office Suite, particularly in Excel
- Strong overall technical aptitude Strong attention to detail
- Strong customer service skills
- Ability to exercise good judgment and decision making
- Flexibility to adapt to all work situations and work varied hours
Preferred
- Experience with an international firm preferred
- Familiarity with Billing Software such as 3E, E-billing Hub preferred
Salary Information
NY Only: The estimated base salary range for this position is $160,000 to $190,000 at the time of posting.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is exempt meaning it is not overtime pay eligible.
