How will you contribute to our team?

The Personal Injury Law Operations Manager is responsible for the administration and oversight of the non-attorney team members of the assigned Operational area. Directs, establishes and plans the activities of the assigned area to include support of policies, goals and objectives as well as execution of operational projects contributing to a positive client experience. Exemplifies a collaborative, productive and people-focused work culture for all Team Members.

Responsibilities:

Oversee daily operations to ensure efficiency and effectiveness.

Must be able to multi-task and to effectively communicate, problem-solve and to overall handle tasks timely and tactfully with all staff levels and the public. Must be able to adapt to a wide range of diverse internal and external clientele.

Communicates in accordance with, and understanding of, applicable State Bar rules related to protected information, confidentiality, and the unauthorized practice of law. Complies with corresponding company policies and procedures.

Ability to effectively utilize available technology, including computers, databases, portals, and software needed to successfully perform the essential duties of the job.

Maintains a professional, courteous demeanor and provides excellent customer service to CR Legal Team's external and internal clients.

Exemplifies outstanding customer services skills to internal and external customers, vendors, guests, and the public. Works with Senior Partner to develop and manage client service initiatives and ensures their implementation and execution.

Leads and mentors Team Members, promoting a culture of belonging, continuous improvement and professional growth.

Evaluates operating policies and procedures to ensure consistency with the overall goals and objectives of the company as well as delivering a positive and caring client experience.

Identifies needs and makes operational flow and process recommendations for case management systems as well as other applications that ensure efficiency and effectiveness.

Assists Senior Partner in the triaging and assignment of cases into the appropriate departments within the practice area.

Manages Attorney and Case Management Staff assignment rotations of cases within the departments.

Oversees change implementation for the assigned practice area(s) of the firm.

Organizes orientation agendas for new hires as well as helps organize new hire training materials.

Assists the Senior Partner with organization and development of training materials and memos for ongoing training.

Oversees training initiatives on department specific processes and procedures.

Develops, trains, and executes on internal workflow and processes changes.

Plans, executes, and finalizes practice area specialized projects according to deadlines and budgets.

Organizes and schedules key, regular meetings between the Senior Partner, Attorneys, Operations Management, Case Management Staff, etc.

Responsible for overseeing external vendor relationships to guide best practices in servicing clients in assigned practice areas as needed, including coordinating visits, meetings and lunches with vendor representatives.

Manages the firm's medical provider database to include adding new vendors and removing vendors that go offline.

Produces various weekly, monthly, quarterly and annual reports. Develops necessary reports to monitor department key performance indicators to ensure client satisfaction, positive client experiences, and operational efficiency across assigned practice areas. Monitors case flow, retention, and response time of assigned practice area personnel.

Screens, interviews and hire candidates for employment.

Conducts hiring, coaching, performance evaluations, corrective action and terminations.

Monitors and controls time schedules, timecards and leave requests.

Provides and directs regular meetings and training with team members as needed.

Works with Senior Partner on short- and long-range plans and budgets.

Must be able to work in-office as scheduled to meet with clients, meet and collaborate with fellow TEAM members, attend training sessions, and/or participate in other events.

Travel is required to various office locations.


Education and Experience:

  • Bachelor's degree in business, management, or a related field required, and a minimum of 3+ years of operations management or supervisory experience in the Personal Injury law practice area required, or an equivalent combination of education and related experience.
  • Experience with Litify Case Management Platform preferred but not required.
  • Bilingual (English/Spanish) preferred but not required.

  • Exceptional communication and collaboration abilities.
  • Ability to oversee projects, ensure deadlines are met, and optimize resources.
  • Skills in identifying inefficiencies and streamlining operational workflows for improved performance.
  • Ability to identify operational concerns and develop practical, effective solutions.
