Cozen O’Connor has an excellent opportunity for an experienced Legal Practice Assistant to join our Atlanta office. This position plays a crucial role in providing primary support to our Subrogation & Recovery practice and support and assistance to attorneys in our Attorney Resource Center (ARC).
The ideal candidate will have strong administrative skills, a working knowledge of insurance and legal processes, and the ability to manage multiple priorities in a fast-paced environment. The position requires excellent communication and organizational skills, and the ability to multi-task under time constraints with exceptional attention to detail.
Responsibilities
- Prepare/transcribe legal correspondence, pleadings, memos, reports, and forms from Big Hand or other media.
- Type, redline, format, proofread, and edit various documents, charts, and tables, including correspondence, pleadings, memoranda, agreements, motions, and other legal documents.
- Organize, prepare, and maintain accurate client and office files in both electronic and paper filing systems, including records of claims, recoveries, and legal proceedings.
- Prepare and process subrogation files, including demand letters, legal documents, and correspondence.
- Communicate with insureds, third-party carriers, attorneys, and internal departments.
- Track deadlines, court dates, and statutes of limitations.
- Assist in preparing documentation for arbitration, litigation, or settlement.
- Input and update data in claims management systems.
- Perform general administrative duties such as filing, scanning, and scheduling.
- Type, transcribe and revise all communications and legal documents, charts and tables.
- Draft, create and update various attorney documents such as docket sheets, case file logs and client required budgets, pleadings and/or discovery.
- Process attorney weekly time summaries, expense reports, check requests and travel arrangements.
- Prepare and submit new client and/or new matter forms and sub-files.
- Coordinate and calendar all pertinent meetings including but not limited to client meetings, hearings, depositions, arbitrations, mediations, court reporters, conference calls and client tasks per firm guidelines.
- Proofread all work for both content and context.
Qualifications
- At least 5 years of experience as a practice assistant or related legal support tole.
- Typing skills of 75+ w.p.m.
- Must possess strong organizational and communications skills, both verbal and written.
- Must be detail oriented and able to multi-task.
- Strong document processing and project management skills.
- Proficient in advanced levels of Microsoft Outlook, Excel and Word and the use and application of Styles, Redlining, and Adobe Pro.
- Must be familiar with setting up and processing Tables of Contents and Tables of Authorities.
- Must be able to operate the Firm’s software applications on an advanced level within a reasonable period of time, and possess excellent reading comprehension and proofreading skills.
- Outstanding written and verbal communications and able to professionally interact with clients, attorneys, and staff.
- Experience in working collaboratively and applying individual commitment to a group or team environment in the spirit of cooperation to successfully complete tasks efficiently and quickly.
- Experience with document management program (iManage preferred).
- Experience with efiling in both state and federal courts or similar mandated efiling vendor for state filings and CM/ECF for federal filings.
- Ability to manage and track cases in multiple jurisdictions.
- College degree preferred but high school diploma and applicable work experience will be considered..
This position will also act as an in office point of contact for attorneys supported by our Attorney Resource Center (ARC). In this role, the Legal Practice Assistant will foster communication and cooperation between the attorneys in our Atlanta office and the ARC team to provide high-quality and meaningful support.
Assignments may change from time-to-time and flexibility is essential. Legal Practice Assistants are expected to extend support and service not only to primary attorneys, but to any attorney within the office as requested.
