Job Description

Position Summary

We are seeking a highly organized, detail-oriented, and proactive Legal Administrative Assistant to support the General Counsel and Legal Department. This role plays a key part in ensuring the legal team runs efficiently by managing day-to-day administrative tasks and project management, supporting legal workflows, and handling sensitive documents with professionalism and discretion.

The ideal candidate has prior experience working in or supporting legal or compliance-focused environments and is comfortable navigating legal processes, communications, and terminology - even if they haven’t held a formal legal position.


Key Responsibilities

  • Manage calendars, coordinate meetings, and ensure timely communication of schedule changes.
  • Prepare, edit, and format legal documents, correspondence, presentations, and reports.
  • Track legal project deadlines and maintain organized records with proper version control.
  • Establish document workflows related to contracts, compliance, and other legal matters.
  • Take meeting minutes, distribute summaries, and follow up on action items.
  • Arrange travel and logistics for the Legal team, including accommodations, itineraries, and submission of expense reports.
  • Maintain filing systems to ensure accurate documentation and compliance.
  • Manage and route incoming communications with discretion, ensuring prompt responses.
  • Assist with document retention, e-signature routing, and document tracking (e.g., via DocuSign).
  • Support internal regulatory and compliance projects, legal research, and policy tracking as needed.
  • Liaise between the Legal team and other departments (e.g., HR, Finance, Operations) to support cross-functional initiatives.
  • Help prepare materials for internal presentations, audits, or regulatory reporting.
  • Provide general administrative support to the Legal team and assist with special projects.

 

Qualifications

  • Minimum three (3) years of administrative or project management experience, ideally supporting legal, compliance, or regulatory teams.
  • Familiarity with legal terminology, contract processes, and corporate documentation is a plus.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and tools such as Adobe Acrobat, DocuSign, or SharePoint.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • High level of discretion and professionalism when handling sensitive or confidential information.
  • Ability to work independently, prioritize competing tasks, and adapt to a fast-paced environment.
  • Prior experience in a law firm or corporate legal department is a plus.


Location

  • This position is remote with approximately 25% travel required.
  • At this time, we are not considering applicants based in California for this position.
