Job Description

A mid-size Chicago law firm is seeking a highly organized and detail-driven Legal Billing Specialist to join our team. This full-time position offers a competitive salary, comprehensive benefits, and the opportunity to contribute meaningfully to the firm’s billing operations by supporting accurate invoice preparation, reporting, and e-billing compliance. 


Position Overview: 

The Legal Billing Specialist is responsible for preparing, auditing, and submitting accurate and timely invoices in compliance with client billing guidelines. This position supports the billing team through invoice drafting, e-billing setup and submission, reporting, and ongoing management of invoice edits, rejections, adjustments, and appeals. The ideal candidate is detail-oriented, highly organized, and able to work independently in a fast-paced, deadline-driven environment. 


Primary Responsibilities:

  1. Provide direct support to the billing team and Billing/Accounting Management. 
  2. Set up new clients and matters for billing, including ensuring compliance with client-specific billing guidelines and requirements. 
  3. Draft, audit, edit, and distribute pre-bills and invoice drafts for review. 
  4. Incorporate edits and revisions provided by bill reviewers in the billing system. 
  5. Create invoice summaries and detailed invoice reports as needed. 
  6. Organize and process expenses and supporting documentation for invoicing and submission to clients and/or insurance carriers. 
  7. Prepare and submit e-billing invoices through client portals in a timely manner, including: 
  8. Setting up e-billing matters in client-specific portals (including mapping matters, rate approvals, and timekeeper approvals) 
  9. Editing and verifying LEDES billing formats as needed (including client case/claim numbers and required fields) 
  10. Monitoring invoice status, verifying compliance and acceptance, and tracking submission outcomes 
  11. Providing ongoing updates regarding invoice rejections, adjustments, and appeals 
  12. Read, interpret, and apply client billing guidelines and outside counsel requirements to ensure compliance. 
  13. Assist with setting up and maintaining budgets for client companies, as applicable. 
  14. Update billing and accounting reports based on monthly and quarterly invoicing activity. 
  15. Communicate regularly with the Billing Manager and Accounting Manager regarding billing status, rejections, and action items.

Qualifications: 

  • Education: Bachelor’s degree (or equivalent experience) in Accounting, Finance, Business, or a related field 
  • Experience: 4+ years of law firm billing experience (insurance defense preferred) 
  • Experience drafting, auditing, and submitting invoices in compliance with billing guidelines 
  • E-billing/LEDES experience and ability to resolve rejections and adjustments 
  • Advanced Excel and strong Microsoft Office skills 
  • Strong organization, communication, and ability to manage deadlines in a fast-paced environment 
  • Ability to work independently while contributing to a collaborative team 


Preferred Qualifications: 

  • Prior insurance defense law firm billing experience 
  • Prior law firm accounting or accounts receivable experience 
  • Experience with e-billing platforms and LEDES invoicing

Compensation and Benefits Overview: $65,000-$80,000 (DOE)
The pay offered for this role may vary based on factors such as job-related knowledge, skills, and experience. Eligible employees may also receive bonus opportunities and other forms of compensation, contributing to a comprehensive total rewards package. Benefits offerings may differ based on location.
