Job Description

This position is located in our Washington, DC office only.

Position Summary:
We are seeking an accomplished Executive Assistant/Paralegal with a deep understanding of in-house counsel and law office operations. This hybrid role combines high-level administrative support with substantive paralegal work, requiring someone who can seamlessly transition between executive assistant duties for our legal team and paralegal responsibilities including, drafting, research, and case preparation. The ideal candidate will be a strategic partner who anticipates the needs and provides comprehensive support in a dynamic legal environment.

Duties and Responsibilities:

  • Draft legal documents, contracts, and correspondence with minimal supervision
  • Conduct comprehensive legal research and prepare detailed memoranda
  • Assist with contract review, due diligence, and regulatory compliance matters
  • Manage litigation support including document review, discovery coordination, and docket tracking
  • Interface with outside counsel and coordinate legal matters across jurisdictions
  • Maintain corporate records, legal files, and compliance documentation
  • Support regulatory filings and government correspondence
  • Provide high-level administrative support to in-house counsel and legal team members
  • Manage complex calendars, coordinate meetings, and handle sensitive scheduling conflicts
  • Prepare executive-level correspondence, presentations, and reports
  • Coordinate with internal stakeholders across departments and external counsel
  • Handle confidential matters with the highest level of discretion and professionalism
  • Manage and coordinate travel arrangements, meeting logistics, expense reports, and administrative processes
  • Process and organize incoming mail, emails, and legal documents
  • Prepare invoices and assist with tracking financials
  • Support broader team initiatives and cross-functional projects such as the annual Legal Counsel Summit
  • Other duties as needed

Qualifications:

  • Minimum 7 years of combines executive assistant and paralegal experience required
  • Paralegal certificate from an ABA-approved program strongly preferred
  • Bachelor’s degree in legal studies, business administration, or related field preferred
  • Certified Legal Assistant or Certified Paralegal (CP) designation is a plus
  • Substantial experience supporting in-house counsel or senior legal professionals
  • Proven track record in both administrative support and substantive legal work
  • Experience in corporate legal environment, regulatory compliance, or complex litigation preferred
  • Background supporting C-level executives or senior management teams is valuable
  • Experience with legal research databases (Westlaw, LexisNexis, Bloomberg Law) preferred
  • Knowledge of case management software and e-filing systems
  • Exceptional attention to detail and accuracy with ability to work independently
  • Superior written and verbal communication skills with executive-level presence
  • Professional demeanor with strong interpersonal and relation-building skills
  • Strategic thinking and problem-solving abilities
  • Adaptability and initiative in anticipating needs and providing proactive support
Compensation: $84,000-$105,000
