Job Description

The mission of the District Attorney's Office is to seek justice through:

  • Promoting accountability for criminal offenders.
  • Interpreting, enforcing and executing law.
  • Responding to the concerns of victims and the public; and
  • Working cooperatively with members of the justice system.
GENERAL STATEMENT OF DUTIES
Independently performs a variety of responsible administrative legal support activities according to established practice and procedures.
 
SUPERVISION RECEIVED
Works under the supervision of a Legal Assistant Supervisor, who assigns work, sets goals, and reviews work for accuracy, completeness, and compliance with department policies and goals.
 
SUPERVISION EXERCISED
Supervision of employees is not a responsibility of positions in this classification.

Typical Duties - Duties include, but are not limited to the following

RECEPTION

  • Phone and Walk-in contacts: 
    • Receives information and handles correspondence, answers questions, looks up information with resources available electronically or in written form, refers calls.
  • Assorted Offices Duties: 
    • Generates, sorts, and sends out notices.  
    • Process incoming and outgoing mail. 
    • Enters data from mail returns and address changes and research new contact information. 
    • Enter data from case assignments. 
    • Processes victims’ rights requests forms, victim release of information and attorney waivers. 
    • Monitor and order office supplies and brochures. 
    • Office mail runs. 
    • Take meeting minutes. 
    • Keep office organized. 
    • Escorts shredding company.
RESTITUTION
  • Research, calculate, compile, establish losses, and maintain deadlines for restitution cases.
  • Prepare documents detailing losses for the court.
  • Prepare various legal correspondence and documents.
  • Copy and disburse restitution information to defense attorneys.
  • Provide restitution information to other agencies.
  • Restitution liaison to court accounting; respond to inquiries from the court regarding discrepancies with judgment orders or court accounting regarding address updates.
  • Assist crime victims with restitution questions, concerns, issues and/or CVC applications.
  • Data entry of restitution information into eProsecutor.
  • Track and compile restitution statistical information for grant reporting.
Other duties as assigned by your supervisor.

Requirements for the Position

EXPERIENCE AND TRAINING
  1. High school diploma or equivalent; AND
  2. Two years of experience in office and secretarial work; OR
  3. Any satisfactory combination of work, education, training, or experience relevant to the position, as determined by Marion County.

PREFERENCS
  • Supplemental secretarial training courses

SPECIAL REQUIREMENTS
  • This position requires possession of, or obtain within 30 days of hire, Law Enforcement Data System (LEDS) certification.
  • Must pass a criminal history background investigation, which includes fingerprinting; however, conviction of a crime may not necessarily disqualify an individual for this classification.
  • This is a safety sensitive/special needs position. Final candidates selected for this position will be required to pass a pre-employment drug screen, including testing for marijuana.   • This assignment is represented by a union.
  • This is a full-time temporary position, which is eligible for overtime.
  • Typical Work Schedule:  Monday through Friday, 8:00 am - 5:00 pm or to be determined, with flexibility depending upon the needs of the department and program.

KNOWLEDGE, SKILL AND ABILITIES
Knowledge of modern office practices, procedures, and techniques; English composition, spelling, and grammar; arithmetic and general record/bookkeeping practices; modern office equipment and machinery and their intended use; a variety of computer systems and software.

Skill and abilities to accurately and effectively perform the various assigned tasks and duties following general procedures and program policies; meet and assist the general public and staff in a courteous and professional manner; use tact and judgment in dealing with the public concerning sensitive and confidential matters; understand and effectively follow oral and written instructions, communications, and procedures; apply newly assigned procedures and practices to specific work assignments; type accurately and at an acceptable rate of speed; access and use various computer systems and software; make decisions independently in accordance with established policies; provide backup to other positions as needed.

PUBLIC SERVICE LOAN FORGIVENESS
Marion County is a qualifying public employer for the Public Service Loan Forgiveness Program.  Through the Public Service Loan Forgiveness Program, full-time employees working at the County may qualify for forgiveness of the remaining balance on Direct Loans after 120 qualifying monthly payments under a qualifying repayment plan.  Questions about your loan eligibility should be directed to your loan servicer or the US Department of Education.

Marion County does not offer VISA sponsorship. Within three days of hire, you will be required to complete the US Department of Homeland Security’s I-9 form confirming authorization to work in the United States. DOCUMENTS REQUIRED FOR VETERANS’ PREFERENCE

  • One of the following:
    • MEMBER COPY 4 of the Certificate of Release or Discharge from Active Duty (DD Form 214 or 215); OR
    • Letter from the US Department of Veterans Affairs indicating receipt of a non-service connected pension; OR
    • Certification that discharge or release from active duty under honorable conditions will take place not later than 120 days after the submission of the certificate.
  • In addition to one of the above documents, Disabled Veterans must also submit one of the following:
    • A copy of their Veterans disability preference letter from the Department of Veterans Affairs; OR
    • Certification that medical separation from active duty under honorable conditions will take place not later than 120 days after the submission of the certificate.
