The Utah Department of Workforce Services (DWS) is seeking an individual who is self-motivated, detail oriented, and has strong communication skills to join their team as a Legal Assistant. This position requires taking incoming calls and assisting internal and external customers with appeals procedures, as well as investigating facts, preparing legal documents, and processing appeals.
Principal Duties
The legal assistant in this position will perform the following:- Take customer phone calls and assist customers with appeals processes and other department programs, procedures, and resources.
- Prepare affidavits or other documents, such as legal correspondence, and organize and maintain documents in paper or electronic filing system.
- Prepare and proofread legal documents, including hearing notices, appeals, letters, decisions, and contracts.
- Enter administrative law judge and attorney decisions into electronic systems correctly to allow or deny benefits.
- Investigate and review facts and law of cases and search pertinent sources to determine causes of action, and necessary documents to prepare cases.
- Meet with clients and other professionals to discuss details of cases.

- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
- Be flexible and willing to learn new programs/processes as needed to cover the workload and assist coworkers.
- Experience using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, evaluation of customer satisfaction, and handling highly confidential information.
- Ability to communicate effectively and be able to follow and give oral or written instruction appropriate for the needs of the audience.

- Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
- Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
- This is a Flexible/Hybrid position which will require several days of in office coverage weekly at the Olene S. Walker Building in Salt Lake City.
- Typical work schedule is Monday - Friday, 8:00 am to 5:00 pm.
- DHRM rules regarding promotions and transfers apply to current state of Utah employees.
