Job Description

JOB SUMMARY:

Serves as the primary administrator for the Legal & Business Affairs team’s operational function, which includes, but is not limited to, procuring and maintaining all UO occupational and other business licenses, facilitating employee onboarding and offboarding, updating and maintaining Legal knowledge management systems, and assisting with software / hardware issues.

MAJOR RESPONSIBILITIES:

  • Serves as the primary administrator for the Legal & Business Affairs Legal Operations function, which includes, but is not limited to, managing access for legal knowledge systems, granting, modifying, or removing access permissions, correcting, inputting and updating information across legal technology platforms, updating tracking records, maintaining organizational charts, emergency contacts and other office information.
  • Maintains UDX business licenses and permits by processing license renewals and payments at county, city, state and other jurisdictional levels. Ensures names, addresses, and related information remain accurate, collaborating with internal departments to obtain necessary signatures and distribute completed licenses to the appropriate business teams.
  • Troubleshoots hardware and software issues with the Legal and Business Affairs team, submits ServiceNow tickets and coordinates escalations with business partners.
  • Coordinates onboarding and offboarding of Legal Team Members including facilitation of equipment, first-day schedules and introductions with business teams, provides guidance on essential systems and support access removal during offboarding.
  • Assists in project-based research as needed within contracts.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.

EDUCATION:

  • Associate degree or equivalent combination of education and relevant experience required.

EXPERIENCE:

  • 3+ years of experience providing administrative support preferably in a Legal environment;
  • 2+ years of experience with Microsoft Office tools.
  • Office administrative experience preferred;
  • or equivalent combination of education and experience.

ADDITIONAL INFORMATION:

  • Working knowledge of legal knowledge management systems. Working knowledge of administrative and legal processes. Must be detailed oriented with ability to focus on specifics. Strong Microsoft Office skill set and experience with Smartsheet.
