Position Summary:
The Facilities & Offices Manager is responsible for the safe and appropriate management of the Witherite Law Group. This role has supervisory responsibility and is primarily tasked with overseeing the maintenance of the firm’s reception, mail, office furniture, fixtures, equipment and supplies. The Facilities & Offices Manager assists with purchases, vendor contracts, and provides leadership in coordinating resources to maximize successful operations.
Key Responsibilities:
• Maintains the operations of the facilities and offices in multiple cities, including:
o Security maintenance- badging and office key management
o Supply ordering and restocking
o All Mail services - external, intraoffice and interoffice mail processing
o Ring Central/Max Agent/Nice InContact Analyzation and Reporting
o Building and facilities requests
o Office and furniture moves
o Office furniture purchases
o Building and tenant relationships, including parking, gym, and building access
o Security ingress/egress and security cameras
o Archiving and Shredding Services
o Copier and printer contract management
o Vehicle Fleet Maintenance (8-10 vehicles)
o Emergency preparedness
o Maintenance of First Aid Cabinets and AED machines
o Janitorial quality assurance
o Vendor management
o Asset management with WASP
• Ensures all policies and procedures are enforced by Office Services staff
• Posts all EEOC, Federal Labor Laws, Firearm codes
• Conducts Performance Evaluations for Office Services Staff
• Manages the firm’s Emergency Preparedness Program and responds to all firm emergencies to ensure employees and visitors are safe and prepared for emergency situations
• Manages vendor relationships and collaborates with firm leadership on requests for proposals, contract negotiations and fulfillment of existing relationships
• Actively seeks cost-saving opportunities for the firm
• Performs other duties as required
Work Experience Requirements:
• Excellent organizational skills with outstanding attention to detail
• Exceptional time management, multi-tasking, and critical thinking skills
• Proven leadership skills in both team and individual environments
• Ability to manage multiple projects concurrently
• Ability to maintain a high degree of discretion
• Proficient in Microsoft Office (Word, Outlook, Excel) and Needles (preferred)
• Excellent verbal and written communication skills on the phone, in person, and email
• Occasional travel required
Education Requirements:
• Bachelor’s degree-Project Management Professional (PMP), a plus.
Physical Requirements:
• Office environment with normal business hours necessary to satisfactorily perform job functions.
• Occasional walking around the office to access filing cabinets, meeting rooms, office machinery, etc.
• May occasionally move supplies weighing up to 20 pounds for various presentation and event needs.
