Job Description

Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking an Administrative Project Coordinator to join its Charlotte Office. The Administrative Project Coordinator performs a variety of administrative and project management duties in support of attorneys and professionals on our Commercial Real Estate/Land Use Team.

This role plays a central part in supporting a fast-paced Land Use practice by ensuring seamless coordination across attorneys, business professionals, and clients. The ideal candidate thrives in a team-oriented setting, demonstrates a solutions-focused mindset, and consistently delivers high-quality support with professionalism and discretion.

What You'll Do:

 

  • Coordinate and track milestones, deadlines, and deliverables across a large portfolio of active matters (often 80+ concurrent projects).
  • Administer all aspects of rezoning case management, land use and other development related research and due diligence (research, file management, and reporting).
  • Monitor timelines and follow up to ensure key dates and expectations are met.
  • Provide proactive support to Land Use team, anticipating needs and ensuring continuity during high-volume periods.
  • Coordinate communications between attorneys, clients, and team members.
  • Manage incoming communications by prioritizing and organizing items appropriately.
  • Assist with document preparation, proofreading, and organization.
  • Assist with coordination of meetings and preparation of materials.
  • Other duties and responsibilities as assigned.
  • Regular in-person attendance is required to perform essential functions of this interactive position.

 

What We're Looking For: 

  • Bachelor’s degree or relevant experience required
  • 5+ years' experience in an executive assistant or project coordinator role, Land Use/Zoning experience, and/or paralegal certification preferred 
  • Proficiency in Microsoft Office suite - Word, Excel, Outlook, and Power Point
  • Ability to manage competing priorities and deadlines
  • Strong interpersonal skills and professional judgment
  • Attention to detail and accuracy

 

Physical Requirements: 

  •  The work is primarily sedentary.
  • It requires the ability to communicate effectively using speech, vision, and hearing.
  • The work requires the use of hands for simple grasping and fine manipulations.
  • The work at times requires bending, squatting, and reaching, with the ability to lift, carry, push, or pull light weights.

 

The position may occasionally require more than the regular 37.5 hours per week to accomplish essential duties, which may include attending meetings in the evenings.
