Ralliant is seeking an organized, proactive Executive Assistant to provide administrative support to the Chief Legal & Government Affairs Officer and Corporate Secretary. This role is well suited for an administrative professional who is highly dependable, detail-oriented, discreet, and comfortable supporting a senior executive in a fast-paced corporate environment.
The Executive Assistant will help manage calendars, meetings, travel, expenses, communications, and logistics for the Chief Legal & Government Affairs Officer and Corporate Secretary. The role requires strong judgment, professionalism, confidentiality, and the ability to follow through on multiple priorities while helping the executive and Law & Compliance department operate efficiently.
This role is located in Raleigh, NC.
Key Responsibilities:
Executive Administrative Support
- Manage calendar scheduling, meeting coordination, and routine daily administrative support for the Chief Legal & Government Affairs Officer and Corporate Secretary.
- Coordinate internal and external meetings, including agendas, meeting materials, conference rooms, virtual meeting links, visitor logistics, and follow-up items.
- Arrange domestic and occasional international travel, including itineraries, transportation, lodging, and related logistics.
- Prepare, submit, and track expense reports, invoices, memberships, subscriptions, and other administrative documentation.
- Support preparation, formatting, proofreading, and distribution of routine documents, presentations, correspondence, and meeting materials with extraordinary attention to detail.
- Handle confidential legal, compliance, governance, employee, and business information with discretion and professionalism.
Department Coordination
- Assist with Law & Compliance team meetings, department events, onboarding logistics, and recurring department communications.
- Coordinate with internal stakeholders, external partners, law firms, vendors, and visitors in a professional and service-oriented manner.
- Maintain organized files, contact lists, templates, distribution lists, and administrative records.
- Help track basic action items, deadlines, and follow-ups at the direction of the Chief Legal & Government Affairs Officer and Corporate Secretary.
- Provide general administrative support to the Law & Compliance department as needed, including coordination across time zones and business partners.
Process and Technology Support
- Use Microsoft Office, Outlook, Teams, and other collaboration tools to support efficient communication, scheduling, document preparation, and coordination.
- Leverage AI-enabled tools, where appropriate, to improve efficiency, summarize information, streamline workflows, and enhance output quality.
- Identify practical ways to improve administrative processes, organization, team communication, and day-to-day execution.
- Support process documentation, templates, and recurring workflows that make the executive office and department easier to run.
Qualifications:
- High school diploma or GED equivalent is required. Bachelor's degree in a related field is preferred.
- 3+ years of administrative, coordinator, office support, or executive support experience.
- Experience supporting a senior leader or executive in a corporate environment is preferred.
- Truly superior attention to detail, ensuring accuracy and precision in all deliverables and duties.
- Strong calendar management, scheduling, organization, prioritization, and follow-through skills.
- Proficiency with Microsoft Outlook, Word, PowerPoint, Excel, Teams, and related collaboration tools.
- Ability to manage multiple priorities, meet deadlines, anticipate needs, and communicate clearly with a range of stakeholders.
- High degree of discretion, judgment, and professionalism when handling confidential information.
- Interest in learning how a corporate Law & Compliance department operates and supporting the administrative rhythm of the function.
