General Purpose:
The Senior Trademark Docketing Specialist manages the complete lifecycle of trademark applications and registrations through accurate docketing, deadline management, and correspondence processing from the USPTO, clients, and international offices. This role combines operational excellence with leadership responsibilities, including mentoring team members, quality control oversight, and serving as an escalation point for complex docketing issues. The specialist supports trademark attorneys by maintaining precise web-based records, generating portfolio reports, and ensuring compliance with all deadlines while contributing to process improvements and team development.
Essential Duties/Responsibilities:
- Review and process a large volume of e-mail, mailings, correspondence and pleadings related to trademark matters from the USPTO, clients, foreign counsel and other foreign trademark offices.
- Maintain trademark attorney case dockets using web-based system. Keep detailed records of all entries to address questions about deadlines and procedures.
- May serve as a contact for escalated docketing issue resolution and inquiries.
- Thoroughly reviews correspondence, documents, and written docketing requests to ensure all deadlines are identified and docketed. This includes quality review of other team member's assigned work and providing feedback to ensure accuracy. Guides team members to learn and apply changing information.
- Mentor and train team members.
- Assist in the development of training materials and standard operating procedures.
- May provide expertise and guidance on complex trademark docketing issues.
- Partner with trademark team to monitor trademark applications and registrations throughout their lifecycle.
- Assist in improving the quality and efficiency of the docketing process. Generate detailed reports on portfolio status, upcoming deadlines, and required actions.
- Assists in the development, maintenance and enforcement of Docketing Team protocols
- Assist the Docketing Manager and Trademark Docketing Paralegal with other duties as needed, including reporting, docketing procedures or projects, and assists with assigning work to other team members, as necessary.
- Performs additional duties and tasks assigned, demonstrating flexibility and a commitment to supporting the firm’s overall objectives.

Job Qualifications (Education, Experience and Certification):
- Four (4) + years’ trademark docketing experience is required.
- Associate’s degree, or Paralegal Certificate preferred.
- Proficiency utilizing PATTSYWAVE, WebTMS, FoundationIP, or similar docketing software preferred.
- Demonstrates excellent interpersonal, oral and written communication skills.
- Extensive knowledge of the US and foreign trademark prosecution process and understanding of relevant documents is strongly preferred.
- Experience/ability to interface with USPTO, WIPO, and other websites regarding trademark matters.
- Proven aptitude to learn new software applications.
- Expert ability to prepare accurate, highly detailed work; excellent proofreading skills.
- Ability to provide clear and concise training on litigation docketing processes and procedures.
- Exceptional organizational skills and attention to detail.
- Requires the ability & soft skills to work effectively with personnel at all levels of seniority within the firm.
- Strong analytical and problem-solving abilities.
- Professional integrity required and ability to maintain confidentiality and build trust with case teams.
- Strong critical thinking skills to process complex orders and analyze effects on other case deadlines.
- Follow firm procedures and risk management guidelines to perform a variety of complex duties.

Compensation:
Holland & Hart offers of employment take into consideration a candidate’s education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. The Colorado salary range is $32.94 - $54.90 per hour. A discretionary bonus may be available based upon performance.
