POSITION SUMMARY: This position is responsible for providing administrative oversight and legal assistance to the department and to the courts.
ESSENTIAL FUNCTIONS:
- Provides assistance to general public, attorneys, investigators, and other persons requesting access to case filed with regard to current court cases.
- Enters orders signed by Judge into automated systems.
- Maintains records of all orders signed by judge.
- Verifies documents scanned by other clerks; reviews and verifies entries into automated system.
- Prepares reports as needed or required.
- Directs and assists in filing various applications, motions, reports, and notices.
- Assists in filing new cases; issues necessary citations and notices.
- Provides assistance to general public in researching information, statutes, case information, filings, and the like.
- Prepares cost bills on a daily basis to determine current commitments to fines, costs, and jail sentences.
- Pulls and replaces files regarding court cases.
- Directs and oversees the activities of the Court Clerks.
- Attends court as court clerk.
- Trains new subordinate employees.
- Performs other related duties as assigned.
- Coordinates Special projects with other offices regarding procedures and changes.
- Provides certified and plain copies to law offices, district attorney, defendants, probation officers, and general public, and other interested parties.
- Prepares and maintains jury panels, including seating a jury, making related copies, administering oaths, and keeping attendance records.
- Reviews computer entries for accuracy.
- Provides assistance during elections as requested or required.
REQUIRED KNOWLEDGE & SKILLS:
Thorough knowledge of the preparation and interpretation of fiscal, statistical, technical, and narrative reports regarding department and county activities.
Thorough knowledge of the purposes, principles, terminology, and practices employed in government administration, court procedure, and the judicial process.
Working knowledge of legislation, current problems, and professional literature on government administration, court procedure, and the judicial process.
Working knowledge of local and state law, procedures, and policies as they relate to the mission of the department.
Working knowledge of administrative planning, management, and supervision as it applies to the position.
Working knowledge of county department operations, organization, accountability, and responsibility.
Working knowledge of laws, statutes, and regulations affecting Galveston County and its government.
Working knowledge of Galveston County government, geography, economics, demographics, society, goals, politics, policies, and procedures.
Ability to perform mathematical calculations.
Physical condition commensurate with the demands of the position.
PHYSICAL DEMANDS & WORKING CONDITIONS:
The work is typically performed while sitting, standing, bending, crouching, or walking. The employee frequently lifts light objects. The work is typically performed in an office or in a courtroom. The employee may be exposed to contagious disease.
SUPERVISORY RESPONSIBILITY:
This position exercises direct supervision over assigned Court Clerks and other department employees as assigned.
MINIMUM QUALIFICATIONS:
Knowledge and level of competency commonly associated with the completion of specialized training in the occupational field, in addition to basic skills typically associated with a high school education.
Experience sufficient to thoroughly understand the work of subordinate positions and to be able to answer questions and resolve problems, usually associated with one to three years experience or service.
