Job Description

PRI is seeking a full-time Legal Administrative Support Specialist to support a long-term Federal contract in New York, NY (This is not a temporary/contract position as you would be a full-time, permanent employee). This is an in-office position working Monday - Friday 7:30 a.m. to no later than 8:30 a.m. start and conclude work no earlier than 4:00 p.m. to no later than 5:00 p.m. depending on your start time. This includes a 30 minute unpaid lunch.


Legal Administrative Support Specialists are expected to perform complex administrative tasks and will typically be supporting one or more senior-level staff, in addition to office staff. All Administrative staff must be able to independently carry out recurring office procedures in addition to handling an array of situations, problems, and deviations in office procedures due to changing priorities, policies, and program goals. May be tasked to assist with special assignments requiring planning and multi-tasking abilities.

Typical tasking includes but is not limited to:

  • Greeting and assisting office visitors;
  • Answering phones;
  • Taking messages;
  • Typing correspondence;
  • Communicating via email (e.g., MS Outlook);
  • Receiving, distributing and sending mail;
  • Operating office equipment (e.g., computers, copiers, fax machines, etc.);
  • Creating and maintaining files and file systems;
  • Coordinating schedules and appointments;
  • Reserving conference rooms;
  • Monitoring and maintaining office supply levels;
  • Assisting in development and quality control of work products (e.g., PowerPoint presentations);
  • Managing bi-weekly time and attendance records of employees in the time and attendance system, including serving as liaison to the Human Resources Branch to resolve time and attendance issues;
  • Processing travel requests and authorizations in the travel system and track through payment;
  • Entering data in, and generating reports from, commercial-off-the-shelf applications (e.g., Excel, Access, Word, PowerPoint, Project, Delphi, webTA and E2 Solutions) and custom-developed systems; and
  • In the event of situations requiring long or short-term remote work, provide, as needed on-site support within scope of the contract across all offices/divisions during COVID-19 pandemic or like situations on an “as needed” basis.


Requirements
  • Minimum of 3 years’ experience in a government office performing advanced office procedures and practices essential for daily support.
  • Minimum of 3 years performing complex administrative tasks and supporting one or more senior-level staff, in addition to office staff.
  • Excellent skills and ability to communicate clearly, both verbally and in writing.
  • Ability to handle an array of situations, problems, and deviations in office procedures due to changing priorities, policies, and program goals.
  • Advanced computer skills and internet research skills in computer systems and software such as Microsoft Office Suite.
  • Capable of supervising less experienced administrative assistance staff.
  • Minimum of a High School diploma (or equivalent), plus some college courses preferred.
