Legal Administrative Assistant Job Details:

Put your administrative and organizational skills to work at Snell & Wilmer, one of the largest and most prestigious law firms in the Western United States.  We currently have an opening for Legal Administrative Assistant within the Bankruptcy Practice Groups in our Orange County office.

To thrive in this role, you will ensure that all documents have been proofread, edited and revised as necessary. You will manage calendars, travel schedules, and accurately record billable and unbillable time. The ability to handle the day-to-day juggling of the work of multiple attorneys in a fast-paced environment is key to your success.

The hours are Monday through Friday from 8:30 a.m. to 5:00 p.m. in the office.

Position responsibilities include, but are not limited to the following: 

  • File and Matter Management:  Open and maintain new matters as instructed by attorneys. Ensure all relevant documents are properly included and organized within case files.

  • Document Review & Preparation: Proofread, edit, and revise documents to ensure accuracy and compliance with legal standards. Prepare a wide range of legal documents. 

  • Court Hearings & Depositions: Assist in preparing for court hearings by organizing necessary documents and exhibits. Schedule remote appearances and manage court deadlines. Coordinate with court reporting services for depositions and mediations.

  • Court & Arbitration Filings:  Handle e-filing of court documents and manage attorney services for filings. Assist with filings related to arbitration matters through the American Arbitration Association.

  • Calendar and Schedule Management:  Manage attorneys' calendars, including travel arrangements, appointments, and deadlines. Anticipate the needs of attorneys and provide proactive support to keep them organized.
  • Timekeeping & Billing:  Accurately record both billable and non-billable hours, ensuring timely and accurate reporting for invoicing purposes.

  • Client & Staff Communication:  Foster and maintain positive working relationships with attorneys, clients, and staff. Handle incoming phone calls, respond to client inquiries, and provide necessary information.

  • Document Management: Create tasks, upload documents, and send emails within the document management system. Ensure proper documentation and communication is maintained.

  • Expense Reimbursement:  Submit and track attorney expense reimbursements in a timely and organized manner.

Experience and Qualifications:

  • 3 plus years experience as a legal administrative assistant within a mid-size law firm
  • Prior experience supporting attorneys in bankruptcy and commercial finance practice groups
  • Knowledge of California court procedures at the state and federal levels
  • State, Federal and Appellate filing experience and e-filing experience
  • Familiarity with legal documents, court filings, and legal terminology
  • Prior document management system, preferred, but not required
  • Excel, Word, OneNote and Outlook proficiency
  • Attention to detail and strong analytical abilities

The pay range for this position is $35.00 to $45.00 per hour depending on years of experience.
