
POSITION OVERVIEW
The Senior Coordinator, Legal reports directly to the Assistant General Counsel, Finance & Tax and has operational support responsibilities across the US Legal department; Budget and Invoice Management, Document Management and Processing, and Information Management, as well as providing exceptional administrative support.
RESPONSIBILITIES AND ESSENTIAL DUTIES
Provide operational support to the US Legal Department to include:
- Departmental Operations Support
- Facilitate legal operations functions, including contract lifecycle management, document processing, and records management in accordance with Company policies and procedures.
- Assist in preparing and submitting regulatory filings in compliance with applicable requirements.
- Review existing departmental operation procedures and make recommendations to enhance operational efficiency.
- Effectively and accurately manage the processing of all third-party vendor invoices in accordance with the relevant contract and company policies, track payments, and resolve discrepancies in a timely manner.
- Manage and maintain departmental budget, including weekly reconciliation of third party invoices to ensure alignment with financial objectives.
- Maintain calendar of specified regulatory filings and assists legal and compliance teams to ensure that all relevant filings are submitted in a timely manner.
- Collect data for and generate reports for management to review that are required for internal and external use, including budgets and forecasts, purchase orders, accounts payable summary reports, organization charts, compliance training records, and project status reports.
- Coordinate and ensure effective and efficient team meeting scheduling, meeting cadence, and perform other logistical work including administrative work as necessary across all areas of the department.
- In coordination with the Assistant General Counsel, Finance & Tax, and other Legal Department leadership team members, ensure action items from meetings are distributed and accounted for and provide status updates on the same as requested.
- Organize and coordinate departmental activities (including, without limitation, periodic departmental training sessions) with minimal direction and serving as the departmental point of contact.
- Performs duties and responsibilities described above along with additional tasks that may be assigned to the employee from time to time by the Assistant General Counsel, Finance & Tax; or the scope of the job may change as necessitated by business demands.
- Ensure annual professional certification/license renewals on behalf of department members.
- Budget and Invoice Management
- Actively manage relationships with third party vendors, including: requesting proposals and quotes from vendors; onboarding vendors; and assisting team to negotiate engagement letters (including tracking of and reviewing for preferred terms and providing comparative spend and rate analytics).
- Document Management and Processing
- Develop and implement departmental document management processes, utilizing tools like Documentum and SharePoint for proper storage, version control, and retrieval in accordance with company policies and procedures.
- Maintain the database of compliance reports, compliance-generated memoranda, and other legal and compliance-related files.
- Create, edit, and proofread legal documents, correspondence, and presentations with a high degree of accuracy.
- Organize and maintain physical and electronic departmental files, ensuring compliance with company record retention policies.
- Administrative Support
- Other administrative duties such as calendar management and expense report submission as assigned.
- Manage departmental mail, sorting and distributing items promptly.
KNOWLEDGE AND SKILLS
Knowledge:
- Understanding of the time commitment necessary to support transactional clients in a high-volume deal environment.
- Knowledge of office management administration, principles, methods, and procedures.
- Aware of sorting/filing techniques and records retention policies and schedules to maintain accurate records.
- General knowledge of compliance functions or commodity trading businesses.
Skills:
- Strong written and verbal communication skills to effectively interact with internal and external stakeholders of various levels with minimal supervision.
- The ability to effectively multitask, i.e.: manage multiple events and projects concurrently, is essential.
- Must be detailed oriented, with excellent analytical, time management, and organizational skills, and effectively meet deadlines
- Should be an effective communicator at all levels of an organization and with individuals and groups from different disciplines, industries, and governmental agencies and exhibit exceptional written, oral, and interpersonal communication skills.
- Must have effective personal drive to get work done with minimal oversight.
- Advanced computer knowledge including excellent knowledge of Microsoft Office Suite including Word, Excel, Access, and PowerPoint, legal and financial software platforms (such as Oracle, Litera, Workshare, Documentum, SharePoint, and/or other similar tools), and the aptitude to continually learn new software or applications as required.
- Ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with discretion.
EDUCATION AND EXPERIENCE
Education, Training and Certifications: High school diploma or GED required. Bachelor’s degree preferred.
Experience: Seven (7) or more years of experience as a Coordinator or similar role supporting a legal organization.
WORK CONDITIONS
- Job is performed in a typical office environment, but is subject to time pressures and constraints, and is also dependent on input from others.
- Must occasionally lift and move up to 15 pounds.
- Subject to drug and alcohol testing, per applicable federal regulations.
- Perform offsite errands in support of departmental tasks as needed.
