Job Description

Gevurtz Menashe is a dedicated law firm offering family law and estate planning services in Oregon, Washington, and Idaho. Core Objectives:

  • Assist Attorneys and Staff:  Provide support to attorneys and staff in the Family Law Department.
  • Client Experience:  Execute and meet project deadlines to support the client experience in our Family Law Department. 
  • Firm Initiatives:  Supports Firm initiatives by assisting with tasks and projects, as directed by the Director of Legal Support Services.


Goals and Responsibilities:

Below is a sample list of responsibilities that address the core objectives of the Legal Support Services Assistant role. This list is not intended to be exclusive, but will identify some specific projects and tasks as the building blocks to achieve the core objectives.
 

Administrative Support:

  • Communicate with other professionals and/or clients to assist with File Transfers 
  • Assist with firm screen implementation by utilizing Caret Legal to run conflict checks and enter new contacts.
  • Assist with implementation of internal file screening process.
  • Provide overall team support by entering time entries into Caret Legal.
  • Provide back-up support to Paralegals E-filing documents with courts and other legal authorities. 
  • Provide support to teams by opening projects in Nextpoint.

Communication:

  • Communicating with clients to assist with scheduling. 
  • Provide back-up support for Paralegals by taking phones calls and relaying messages. 

Document Preparation:

  • Proofread legal documents, such as pleadings and letters, to ensure proper formatting and grammar. 
  • Transcribing and editing legal documents. 

Trial Support:

  • Assisting with the preparation of documents and exhibits for trials and hearings. 

Other:

  • Miscellaneous related tasks/projects as assigned by the Director of Legal Support Services & Development.
  • Support other Legal Support Services staff to ensure that all goals and objectives are met.
  • Enter time into the billing system
  • Participate as needed in internal paralegal education, development training, and department meetings.
Requirements

Experience

  • Minimum of 1 year of administrative or assistant experience.
  • Experience in a law, customer service or professional service environment preferred.  


Necessary Knowledge, Skills & Abilities 

  • Ability to exercise and maintain a high level of confidentiality, discretion, and professionalism.
  • Strong interpersonal, organizational, analytical, decision-making, and problem-solving skills are required with adaptability and the ability to change plans as needed. 
  • Must be detail-oriented, able to think critically, and set high standards for accuracy in a high-volume environment.
  • Exhibits commitment to integrity and excellence. 
  • Excellent communication and interpersonal skills.
  • Comfortable with technology and able to quickly learn new tools to include: Word, Excel, Outlook, Teams, SharePoint, PowerPoint, Adobe, Caret Legal, and Net Documents.
  • Dedicated team player with the ability to work independently as well. 
  • Exceptional client service skills and ability to work independently, as well as on a team. 
  • Ability to manage multiple projects and tasks and work in a fast-paced team environment.
  • Comfortable developing interpersonal relationships with Attorneys and staff members.
