SUMMARY OF RESPONSIBILITIES:

This position provides oversight and support for the Office of the General Counsel’s contract management system and workflow, maintains corporate documents, and handles all aspects of AAFP’s intellectual property management, including reviewing, analyzing, and documenting permission requests; working with internal/external stakeholders and organizational industry peers; and assisting in the evaluation, registration renewal, and management of copyrights and trademarks.

Key responsibilities include:

Contract Manager: Serves as primary point of contact and coordinator for all contracts and contract-related matters; manages the contract management system, including handling negotiations and software updates with the vendor, as well as tracking work flow and work load of all contract reviewers and ensuring accurate and timely responses and archiving/retrieval capabilities; collaborates with and provides updates, reports, and other information to legal staff and internal clients.

Intellectual Property/Permissions: Evaluates and manages requests from various areas within AAFP to use materials from other copyright/trademark owners, including researching ownership, negotiating fees and uses, preparing related correspondence, and documenting permissions. Provides training, feedback, and reporting to internal requesters.

Intellectual Property/Copyrights and Trademarks: Coordinates and prepares submission of applications for copyright registrations. Maintains files for copyright releases, certificates, invoices and author statements. Manages service providers and designated agents for AAFP websites. Performs trademark research and provides advice and support with respect to preparation and filing of trademark applications and renewals.

Corporate/Litigation Paralegal: Handles filing and maintenance of AAFP corporate registrations and related documentation in all applicable states. Assists in handling litigation matters as needed.

Other duties as assigned.

REQUIREMENTS: Bachelor’s degree or equivalent work experience, plus a minimum of six years related work experience.

Required skills for success include:

  • Familiarity with litigation, intellectual property and corporate law.
  • The ability to create simple queries to extract relevant data and format the output in a readable and accessible manner is essential.
  • The ability to conduct thorough and efficient legal research.
  • Proficiency in creating professional letters and reports.
  • The ability to generate and format spreadsheets, charts, and graphics to present data clearly is highly beneficial.
  • Strong communication skills – both verbal and written.
  • Excellent interpersonal skills
  • Ability to operate with a high degree of autonomy
  • Paralegal certificate preferred but not required.
