LITIGATION LEGAL ASSISTANT/PARALEGAL – LOS ANGELES

THE OPPORTUNITY


Weintraub Tobin is seeking a full-time Litigation Legal Assistant/Paralegal (37.5 hours per week) to join our Los Angeles office in Century City. This hybrid position combines the responsibilities of both a litigation secretary and litigation paralegal, supporting a busy team of litigation attorneys. This position includes a billable hour requirement of approximately 60 hours per month, with expectations for regular time tracking and meeting monthly billable targets. The ideal candidate will thrive in a fast-paced, professional environment, be detail-oriented and proactive, and enjoy working collaboratively. Strong litigation experience is essential, along with the ability to manage both administrative and substantive legal tasks while consistently delivering high-quality work and exceptional client service. A hybrid work arrangement may be available after 90 days, with four (4) days in the office and one (1) day remote.


RESPONSIBILITIES

  • Coordinate attorney schedules, meetings, depositions, court appearances, travel, etc.
  • File documents electronically with state and federal courts, ensuring compliance with court rules and deadlines.
  • Maintain and organize case files, both physical and electronic, and manage case calendars and deadlines.
  • Complete and submit conflict check and new client matter forms.
  • Perform general administrative tasks such as time entry, expense reporting, and billing.
  • Assist in preparation and finalizing legal documents by ensuring timely completion of tasks.
  • Maintain good public relations and diplomacy with clients while observing confidentiality of attorney-client relationship.
  • Coordinate and schedule couriers, court reporters, expert witnesses, and other essential services to ensure seamless support.
  • Create and maintain internal case databases including importing and exporting documents, searching for documents, running productions, running analytics and email threading, document review and coding documents.
  • Prepare subpoenas, track their service and compliance, and ensure timely follow through on all related legal processes.
  • Conduct document searches using e-Discovery tools (e.g., Relativity) and perform factual research via Westlaw and online sources.
  • Assist attorneys in preparing for depositions by gathering and preparing documents relevant to the deponent, and organizing exhibits.
  • Oversee the progress of documents through litigation, order transcripts/records, etc. from third party entities and fulfill requests from outside counsel and others.
  • Prepare for and attend trials/arbitrations: Organize exhibits, files and all other supporting documents and materials, coordinate trial set-up and logistics, and assist attorneys in the courtroom.
  • Operate and manage electronic trial presentation tools.
  • Handle all aspects of discovery: organize, review, analyze, and summarize discovery responses; respond to discovery requests; and prepare subpoenas to third parties.
  • Demonstrate strong analytical and technical skills throughout all phases of litigation.
  • Act as a liaison between various internal departments, as well as outside vendors.
  • Additional duties as assigned, including assisting other secretaries, as needed.
Requirements

EDUCATION AND EXPERIENCE

  • 5+ years of law firm litigation experience 
  • Experience supporting a minimum of three attorneys including partner level attorneys
  • Paralegal certificate required. Alternatively, qualifications outlined under California Business and Professions Code §§ 6450–6456 may be considered
  • Trial preparation and in-court experience strongly preferred
  • Knowledge of federal and state court filing procedures including e-filing requirements
  • Advanced working knowledge of Microsoft Office Suite 
  • Familiarity with document management systems and time entry software
  • Proven track record of reliable attendance and punctuality
  • Effective communication and organizational skills
  • Superior attention to detail and high level of accuracy 
  • Strong client focus 
  • Self-motivated, ability to work independently, and anticipate attorney needs
