Position Summary: Legal Assistants are responsible for providing support to attorneys and paralegals on a day-to-day basis, as well as working closely with clients and other team members to ensure effective and timely attention to important legal matters. The firm has a 40-hour work week schedule, typically 8:00 – 5:00. Legal Assistants have the opportunity to work a hybrid schedule with 3 days in the office and 2 days at home after the initial three month training period.
Essential Functions/Responsibilities:
Legal Document Preparation and Processing
- Draft, edit, and finalize routine and simple to complex legal documents and forms.
- Proofread and correct prepared materials for correct grammar, spelling, punctuation, format, syntax, and content.
- Efile documents/pleadings in various State and Federal Courts and other administrative courts (OPUC, WUTC, FERC, BPA)
- Record deeds/documents via Simplifile and by hard copy in Oregon and other states.
Document Management
- Organize, scan, copy and send legal documents in a timely manner.
- Update and organize electronic and physical file for easy access. Maintain and organize files, records, documents, and correspondence.
- Maintain the docket for dates to track upcoming deadlines.
- Maintain documents in the document management system.
- Transfer of digital and hard copies of client files.
Practice Support
- Assist with client engagement, including preparation of engagement letter, and conflict checks.
- Provide support for the firm’s monthly billing process.
- Coordinate and schedule meetings and appointments.
- Track and submit CLE requirements.
- Delegate tasks to office assistants and supervise their completion.
Other Administrative Support
- Prepare, track, and submit attorney monthly reimbursement expenses.
- Notarize and witness client documents.
- Assist fellow assistants and additional attorneys as needed.
- Other legal assistant duties in support of assigned attorneys and the ongoing operation and management of their practice areas
Skills/Competencies:
- 3+ years’ experience as a legal assistant/secretary, or equivalent experience in a professional office setting.
- Knowledge of legal terminology, legal documents and legal processes. Ability and willingness to learn new practice areas and programs updates
- Strong computer proficiency and proficient usage of software: MS Office, document management, time entry, e-filing database software, DocuSign, Simplifile and FilesAnywhere.
- Excellent communication skills, written and verbal.
- Understanding correct grammar, spelling and punctuation.
- Superior attention to detail and organizational skills including filing, calendaring, and proofreading.
- Ability to keep personally identifiable information, personal health information, and attorney/client privileged information confidential.
- Exceptional client service orientation, sound judgment, and the ability to adjust to competing priorities.
- Requires consistent attendance and regular in-office presence. The firm’s in-office work requirements may be modified in the firm’s discretion.
The compensation depends on qualifications and experience. This position is eligible for an annual discretionary bonus, 401(k) plan, medical, dental, vision, life insurance, short- and long-term disability, Healthcare and Dependent Care Flexible Spending Accounts, 10 paid holidays each year and an employee assistance program. Additional voluntary benefits programs include voluntary accident insurance, voluntary life, and pet insurance. The initial PTO benefit is 13 days per year and 5 days of sick leave per year.
