Job Description

Job Summary and Objectives:
The Executive Assistant is responsible for providing comprehensive administrative support to the Chief of Staff to the Chair (CoS), Chair of the Firm (Chair) the Executive Leadership Team and the Executive Committee. This role is ideal for an experienced assistant eager to grow in a fast-paced, partner-facing environment, and who thrives on collaboration and problem-solving. The Executive Assistant will serve as a partner helping to effectively manage priorities and facilitate smooth communication. This position will partner closely with members on the Executive Management team, ensuring seamless coordination and coverage across leadership priorities.
Essential Job Duties & Responsibilities:
  • Manage complex scheduling across multiple time zones, balancing the priorities of the CoS, Chair, and Executive Committee.
  • Partner closely with Conference Services to guarantee meetings, events, and leadership sessions are executed with precision and professionalism.
  • Support the upkeep of firm technology platforms that serve the partnership and the Executive Committee, ensuring accuracy, accessibility, and timely updates.
  • Anticipate leadership needs and proactively manage shifting priorities and deadlines
  • Draft, review, and edit confidential correspondence, reports, and presentations. 
  • Take ownership of large-scale Excel based project including building, maintaining, and analyzing pivot tables to support annual committee selection process.
  • Coordinate and track subcommittees and initiatives set forth by the Executive Committee, ensuring agendas, follow-ups, and deliverables are managed effectively.
  • Act as a liaison between executives and internal stakeholders, ensuring smooth information flow and follow-through.
  • Provide ad hoc support for special projects requiring judgement, discretion, and cross office collaboration.
  • Provide operational and cross-functional support to the Administrative Partners.
  • Perform other duties as assigned as needed
Education:Bachelor's degree preferredSkills and Experience:
Required: • Minimum 5 years of executive assistance experience, preferably in a law firm or in professional services • Demonstrated expertise in calendar management, meeting coordination, and conference services bookings • Comfort with learning and managing technology platforms that support executive and partner communications. • Strong working knowledge of MS Outlook, Word, Powerpoint and Excel • Excellent interpersonal skills and a professional demeanor; ability to work effectively with all levels of Firm personnel and vendors • Strong written and verbal communication skills with meticulous attention to detail • Proactive and adaptable: anticipates needs, solves problems, and thrives in a fast-paced, dynamic environment • Must be able to work collaboratively in a team environment and independently • Excellent organizational and project management skills, with ability to prioritize under pressure • Eager to learn and grow, with a proactive mindset and curiosity for new challenges Preferred:• Familiarity with navigating complex organizational structures and balancing competing priorities • Prior experience supporting executive or partnership committees and exposure to firm-wide initiatives
Physical Demands (required to perform essential job functions)Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Work EnvironmentThe worker is not substantially exposed to adverse environmental conditions as in typical office or administrative work (normal light, air and space in the work environment).

Salary Information

NY Only: The estimated base salary range for this position is $120,000 to $150,000 at the time of posting.

The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.
