Under general supervision, the Administrative Assistant supports the collection of unpaid toll road balances through various clerical and public-facing duties. Individuals in this role will be responsible for assisting with administrative hearings held multiple times a week, meeting with the public to accept payments and provide account information, preparing reports, updating case databases, and managing both physical and digital records. Additional responsibilities include generating and printing certified mail tracking numbers and barcodes, handling incoming records from courts and agencies, and coordinating mailings related to legal proceedings.
The Administrative Assistant is expected to possess strong organizational skills, attention to detail, and the ability to communicate effectively with both internal staff and the publicDuties and Responsibilities:
- Administrative Hearing Support: Provides support for in-person and virtual Administrative Hearings held three (3) to four (4) times per week.
- Administrative Tasks: Performs various administrative tasks, which include answering the phone, resolving escalations, and updating spreadsheets and databases with relevant notes. Reviews the digital and physical collection of letters and other types of documents. Generates and prints mailing tracking numbers and CMRRR bar codes.
- Document Preparation: Drafts, prints, and mails documents and exhibits for use in lawsuits, administrative hearings, and related correspondence efforts.
- Tracking & Reporting: Prepares periodic reports and enters information into database systems and spreadsheets to track cases and mailings for several hundred active accounts.
- Payment Processing: Meets with members of the public in person to accept payments and provide information and clarity regarding outstanding balances.
- Records Management: Picks up citations from courts, requests and receives physical and digital records from governmental agencies, and organizes the records.

Education and Experience Requirements:
- High School Diploma or G.E.D. equivalent from an accredited educational institution.
Two (2) years of clerical or administrative experience.
Knowledge, Skills, and Abilities:
- Knowledge of effective communication techniques for engaging with the public, responding to inquiries, and processing payments both in-person and virtually.
- Proficiency with technology and legal tools such as Microsoft Office 365, Westlaw, and PDF software.
- Ability to prepare a wide range of legal documents, reports, and correspondence with accuracy and clarity, ensuring compliance with established standards and procedures.
- Ability to organize and prioritize assignments to meet deadlines and goals, and efficiently handle a very large caseload, ensuring each case is managed and tracked appropriately.
- Ability to self-motivate/initiate and implement a high degree of quality control.
- Ability to manage highly confidential and sensitive information.
- Ability to comply with office policies and training requirements.

- General Information
Located in downtown Houston, the Harris County Attorney’s Office represents Harris County government, the Harris County Flood Control District, the Harris County Toll Road Authority, and the Greater Harris County 9-1-1 Emergency Network in all civil matters, including lawsuits. The office also provides legal advice to county officials and employees.
Position Type and Typical Work Schedule:
This is a full-time position with the typical work hours of Monday - Friday from 8 AM to 5 PM.
Occasional weekends, holidays, and overtime may be required based on the specific needs and demands of the department.
Work Environment and Physical Demands:
This position is performed in a typical office setting and involves regular use of standard office equipment, including computers, telephones, scanners, and filing cabinets. The work is primarily sedentary, involving extended periods of sitting, with occasional walking or standing as needed.
In some cases, the role may require standing for extended periods depending on the task. The position also requires manual dexterity, with frequent use of hands for fine motor tasks such as typing, data entry, or handling small tools and equipment. Physical exertion is minimal, though the role may occasionally involve lifting or moving items weighing up to 10 pounds.
Compensation:
The base compensation for this position will be determined on the candidate’s qualifications and the pay of other employees in the job function. Total compensation includes attractive paid leave programs, health benefits, and retirement plans.
In addition, the position is eligible for the accrual of compensatory time off for hours worked over 40 in a workweek, consistent with Harris County personnel policies and procedures.
Employment may be contingent on passing a drug screen and meeting other standards.
