- GENERAL DESCRIPTION
Performs difficult skilled clerical and responsible technical work in the Office of the Clerk of the Circuit Court. Responsible for one or more specialist functions related to the operation of the Office of the Circuit Court Clerk. Accomplishes assigned work using established guidelines. Performs other duties as assigned.
- ESSENTIAL JOB FUNCTIONS
- Reviews all work related to the probate of a will, including verifying that a will has met all requirements of the Code of Virginia and can be recorded.
- Probates wills by reading pertinent portions to determine whether self proving; administering oaths to witnesses when required, completing memorandums of facts and other related forms, and calculating taxes and fees for probating and recording.
- Assists the general public in locating deeds, wills, court orders, judgments, financial states, and other miscellaneous needs of the public.
- Reviews Court Orders appointing guardians and conservators.
- Certifies, reads and records chancery orders. Makes notations, releases judgments, dockets judgments and indexes the orders.
- Prepares a variety of court orders and prepares various reports for submission to the State Supreme Court and other offices.
- Composes correspondence, often over own signature, to attorneys, fiduciaries, and the general public, to clarify Court procedures and office policies.
- Performs courtroom duties, which include properly and accurately record hearings, assess costs, fines, and restitution, and issue any documents ordered by the Court.
- Utilizes records management system, case imaging system, and financial accounting system.
- Operates or supervises the operation of microfilm equipment and/or computerized document imaging scanners and related equipment.
NON ESSENTIAL JOB FUNCTIONS- Performs the work of Deputy Circuit Court Clerk I or II as needed. May assist with the work of Deputy Circuit Court Clerk IV.
- REQUIREMENTS/PREFERENCES
Education:
Required: High school diploma or equivalent supplemented by business school or college level courses or training in business administration or a related field.
Experience:
Required: Considerable experience in the office of the Clerk of the Circuit Court.

None
Knowledge, Skills, and Abilities:- General knowledge of the Circuit Court system and its operations
- Thorough knowledge of standard office terminology, procedures and techniques
- Ability to operate and instruct others on the operation of a variety of office equipment
- Ability to communicate effectively and tactfully with the public and other employees
- Ability to perform arithmetical computations
- Ability to read and understand legal documents
- Ability to follow oral and written instructions
- Ability to maintain confidentiality of information handled within the office

May supervise others as assigned
