About:
Join our team in a dynamic role that spans the entire financial lifecycle of our clients' cases. The Client Accounts Specialist will handle comprehensive accounting functions while serving as a key point of contact during the most rewarding phase of the client journey - settlement disbursements. This position combines daily accounting operations with direct client interaction, managing everything from accounts payable to final settlement distributions. You'll maintain accurate financial records, assist with monthly reporting, and work directly with clients to help them understand their settlement funds, making this role both technically challenging and personally fulfilling.
Responsibilities:
Accounting Operations:
Balance subsidiary accounts by reconciling entries
Maintain subsidiary accounts by verifying, allocating, and posting transactions
Preparing client cost reports
Process expense reports
Comply with federal, state, and local legal requirements
Assist Finance Director with maintaining general ledger
Assist Finance Director with month-end closing
Address inquiries and concerns from vendors and internal stakeholders regarding disbursements promptly and professionally
Client Accounts:
Serve as the primary point of contact for clients, providing exceptional customer service throughout the client lifecycle
Resolve client liens, draft disbursement statements, and issue checks to clients
Allocate and reconcile client accounts in QuickBooks
Maintain client account records, ensuring all necessary information is accurately recorded in the firm's case management system
Communicate with clients via phone, email, and other communication channels, responding promptly and professionally to all inquiries
Work collaboratively with attorneys and other team members to provide support and ensure client satisfaction
Maintain accurate records of client interactions and account information, ensuring data integrity and confidentiality
Monitor case progress and provide regular updates to clients on case status
Identify opportunities to improve client satisfaction and streamline processes, making recommendations to management for implementation
Continuously develop knowledge of personal injury and mass tort law to better serve clients and support the team
Qualifications:
Required:
High school diploma or equivalent
2+ years of experience in bookkeeping and/or accounting
Experience with Microsoft 365 applications (Excel, Word, and Outlook)
Basic (or better) knowledge of QuickBooks
Strong communication skills, with the ability to effectively communicate with clients, attorneys, and other team members
Excellent organizational skills and time management skills
Attention to detail and high level of accuracy in data entry and record-keeping
A pristine record with no personal or business bankruptcies or criminal record is a must
Preferred:
Associate or bachelor's degree in finance or accounting strongly preferred
Accounting Certificate, associate in accounting, or equivalent work experience and/or training
Previous work experience with QuickBooks
Prior experience in banking, legal accounting, or medical office
Experience with lien resolution in a legal or medical setting
Case management software experience
Previous accounting experience
