Job Description
The Specialist, Attorney Support is a high-level role that combines legal, executive, and project management support for partners, attorneys, and practice leaders. This position is essential to improving attorney productivity, advancing practice group initiatives, coordinating events, and supporting business development efforts. The ideal candidate brings prior experience in these areas and strong technical proficiency, is proactive with sound judgment, exceptional organizational skills, and business acumen.PRIMARY RESPONSIBILITIES AND/OR ESSENTIAL FUNCTIONS:
Attorney & Practice Support
- Maintain complex and detailed calendars, prioritizing meeting requests, coordinating schedules across multiple stakeholders and related logistics.
- Manage the scheduling of internal and external meetings across multiple time zones and related logistics.
- Support attorneys with managing client relationships, including handling inquiries, tracking requests, and ensuring timely follow-up.
- Prepare, format, and proofread documents, including presentations and reports with high attention to detail.
- Coordinate a high volume of domestic and international travel; prepare itineraries and expense reports.
Executive & Project Management
- Support practice group initiatives by coordinating cross-departmental projects, retreats, and client events.
- Track deliverables, manage project timelines, and monitor progress of ongoing matters and internal projects.
- Organize agendas, prepare meeting materials, and document action items for internal and client-facing meetings.
Analytics & Reporting
- Compile, analyze, and present practice group data (e.g., billable hours, matter status).
- Develop reports and dashboards to track attorney performance, team productivity, and client service, and other metrics.
- Leverage technology to promote efficiencies.
KNOWLEDGE, SKILLS AND ABILITIES:
- 5+ years of experience in a legal, executive assistant, or law firm practice support role.
- Strong proficiency in Microsoft Office Suite (especially Excel, PowerPoint, and Outlook).
- Familiarity with legal systems such as iManage, Elite.
- Ability to manage multiple priorities and work independently in a high-pressure, deadline-driven environment.
- Excellent interpersonal, written, and verbal communication skills.
- Project management or legal operations experience strongly preferred.
- Comfort with data and reporting; ability to generate insights from metrics.
- Experience working with business development teams and supporting partner/client engagement.
EDUCATION/ CERTIFICATIONS:
- Bachelor's degree required (Business, Legal Studies, or related field).
Estimated salary range is $110,000 - $125,000. Compensation decisions within this range are dependent on the facts and circumstances of each case including but not limited to the individual's skills, experience, and qualifications.
